Service Coordinator Job Description

Sudden Service, Inc. is seeking a highly skilled Service Coordinator to join our team. As a Service Coordinator, you will play a critical role in ensuring the best possible service to our customers.

Key Responsibilities:
  • Customer Service: Work with customers and Field Service Mechanics to identify required maintenance and provide expert advice on necessary services.
  • Service Coordination: Compute costs of replacement parts and labor to restore lift trucks to customer-specified conditions.
  • Estimation and Invoicing: Estimate costs of mechanical, electrical, or other repairs and process parts and/or service sales orders for invoicing.
  • Documentation and Record-Keeping: Ensure all paperwork relevant to each lift truck folder is scanned and kept current.
  • Warranty Claims: Process warranty claims and follow through to completion.
  • Communication: Answer telephone calls, respond to correspondences, and provide quotes for the Service Center.
  • Database Management: Maintain databases and address books for the Service Center area.
  • File Management: Assist in building and maintaining file systems for the Service Center.
  • Time Tracking: Keep track of service personnel's time and submit reports to the Louisville contact as required.
  • Safety and Compliance: Perform duties as assigned by the Louisville Safety Director, including maintaining files and records of SSI-owned vehicles.
  • Expense Management: Audit expenses and purchases for all service personnel at the Service Center and create reports on service mechanic sales, call-in sales, and expenses.
  • Supplier Management: Seek out promotional materials and request bids from suppliers for best pricing and quality products.
  • Employee Onboarding: Provide SSI employees with proper orientation and necessary information on Company policies and supplies.
  • Scheduling and Leave Management: Responsible for scheduling and verifying vacations, personal leaves, medical leaves, non-productive time, etc. to ensure sufficient employees are present for the workload.
Required Skills and Abilities:
  • Service Coordination: Prioritize service work effectively.
  • Customer Satisfaction: Strong record of positive Customer Satisfaction results.
  • Communication: Professional demeanor and self-confidence in dealing with customers and outside contacts.
  • Driving and Transportation: Valid driver's license and good driving records.
  • Computer Skills: Basic computer skills.
  • Organization: Organization skills.
  • Multi-Tasking: Ability to multi-task.
  • Pressure Management: Work well under pressure.
  • Teamwork: Team-oriented.
Education and Experience:
  • Education: High School Graduate or GED equivalent.
  • Experience: Experience in the Parts/Service industry, particularly in coordinating service responsibilities with service technicians and parts personnel.
  • Mechanical Aptitude: Mechanical aptitude or experience in the forklift or other related fields.
  • Customer Service: Previous experience in a customer service-oriented role.
