The Office Manager position is a critical role that requires a high level of detail, strong organizational skills, and excellent communication abilities. This role plays a key part in the success of the branch(es) supported and reports directly to the local Branch Manager with a dotted line to the Area Controller.
Key Responsibilities:
• Reviews and verifies all purchase orders, statements, and invoices needed to prepare payments.
• Manages Accounts Receivable, updates and maintains customer portal, and submits all invoices to Accounts Payable with proper GL coding to ensure payment.
• Processes payroll, manages expense reports, and works with various vendor payment portals.
• Manages employee life cycle, including onboarding and separation processes, and manages office inventory.
• Answers office phone calls, assists or redirects calls as needed, and facilitates communication between Parent Company and Branch Personnel.
• Assists and coordinates with Management team as needed and performs other tasks as assigned.
Requirements:
• High School degree with 2-3 years of related experience. Associates or Bachelor's Degree desirable.
• Formal experience and training in office procedures and use of office equipment.
• Excellent data entry skills and highly proficient in Microsoft Word, Excel, and PowerPoint.
• Experience with Aspire business software a plus. Ability to speak Spanish a plus.

• Self-motivated and professional attitude.
• High comfort level in fast-paced environment with ability to pivot quickly.
• Ability to communicate accurately and clearly both orally and in writing.
• Superior organizational skills with a focus on detail and accuracy required.
• Excellent problem-solving skills and critical thinking capabilities.
• Proven confidentiality and high ethical standards.
• Strong initiative, with ability to stay focused and proactive while working independently.
• Must be customer service-oriented with strong interpersonal skills.
• Willingness to be a key team member with heavy interaction with all branch personnel.
