About the Role

Total Safety is seeking a highly organized and detail-oriented Administrative Assistant to join their safety-focused team. As an Administrative Assistant, you will provide essential support to the department, ensuring seamless day-to-day operations.

Key Responsibilities
  • Provide administrative and clerical support to the department, including invoicing clients and maintaining accurate records.
  • Responsible for collecting payments for invoices and ensuring timely communication with clients.
  • Assist in creating, running, and distributing standard reports, and summarize key findings for stakeholders.
  • Maintain organized files and databases, ensuring easy identification and retrieval of information.
  • Support the team by providing backup reception services and assisting with meetings, conferences, and events.
  • Utilize salesforce experience to maintain estimating opportunities within the software.
  • Ensure accurate and timely communication with clients and stakeholders.
Requirements
  • High school diploma or equivalent, plus additional specialized courses or an associate's degree in a related field.
  • Progressive experience in billing and invoicing clients.
  • Excellent communication and interpersonal skills, with the ability to interact with multiple internal and external contacts.
  • Proficiency in MS Office and other specialized software programs.
  • Ability to work in a team environment and handle confidential information.
  • Efficient operation and maintenance of office equipment.
