Position Overview

We are currently in search of a Construction Administrator who will oversee project documentation coordination and management throughout the Bid, Design, Construction, and Closeout phases. This role requires consistent communication with the design team, project management, peer reviewers, and subcontractors to ensure proper document flow and adherence to Clayco's procedural standards, while also allowing for customization and enhancement of these standards as needed for each project.

The Construction Administrator will serve as the primary contact for construction documents, which include drawings, sketches, specifications, contracts, and change orders. Responsibilities include logging these documents and distributing them to the Project Team, typically managing 2 to 6 projects simultaneously.

Key Responsibilities:

  • Maintain electronic project files and various platforms such as PMWeb, PlanGrid, Internal Drive, and Building Connected, ensuring that current project documents are accessible for team use.
  • Type, compile, organize, file, and distribute Project Meeting Minutes, Bid Packages, Submittal Packages, Drawings, Contracts, Change Orders, and other essential documents.
  • Familiarity with Requests for Information (RFIs) and Construction Specifications Institute (CSI) codes is essential.
  • Create and manage Distribution Lists for project communications.
  • Update company information and enter new companies as required.
  • Set up new users in PMWeb, linking them to projects and assigning appropriate security levels.
  • Issue welcome email packages to new PMWeb users.
  • Assist Project Managers and Project Engineers with early records in PMWeb to track buyout and Pre-Construction Meetings.
  • Customize workflow processes for each project as necessary.
  • Assist in the formatting and content creation of project-specific reports as requested.
  • Follow up with subcontractors, designers, and suppliers regarding submittals, executed contracts, and change orders.
  • Request, compile, and submit closeout documents to the owner for archiving.
  • Maintain organized and detailed electronic filing of project records and email correspondence.

Qualifications:

  • Experience in the construction sector is required.
  • A two-year degree in business administration or a related field is preferred.
  • Proficient computer skills, including experience with document management systems, Microsoft Word, Excel, and Outlook, with a commitment to ongoing skill development.
  • Strong communication skills, both verbal and written.
  • Excellent listening abilities with a keen attention to detail.
