Job Summary

Chicago Family Health Center is seeking a highly organized and detail-oriented Administrative Assistant to provide administrative support to our C-Suite level personnel. The successful candidate will be responsible for performing a variety of administrative and clerical duties to ensure the smooth operation of the department.

Key Responsibilities
  • Administrative Support: Provide administrative support including but not limited to calendar scheduling and management, materials preparation, and dissemination. Maintain supplies inventory and order supplies monthly.
  • Relationship Building: Build and maintain strong working relationships with program directors, managers, providers, team members and external vendors in the assistance of projects for patient engagement, quality improvement, care, and service.
  • Meeting Coordination: Prepare and coordinate meetings, agendas, health fairs, events, conference calls, webinars, and training, including (but not limited to) coordinating speakers, and lunch.
  • Data Management: Manage data reports on a daily/weekly/monthly basis to help maintain HEDIS/UDS metrics, including Master OB logs, Birth Weights reconciliation, and other assigned reports.
  • Communication: Read and analyze incoming emails, memos, letters, and reports to determine their significance and distribute appropriately as well as assist in preparation of monthly board presentations.
  • Provider Support: Support provider related administrative functions (reimbursement, regulatory, death certificates).
  • Liaison: Serves as a liaison between partner hospitals, vendors and outpatient services to ensure prompt communication and appropriate data sharing.
  • Scheduling: Timely completion and distribution of monthly On Call Provider schedules and assist in form completion.
  • Documentation: Enter and maintain electronic records, compile reports and complete documentation in a timely manner and other administrative responsibilities as needed.
Requirements
  • Education: An associates degree required. BA in Business Administration preferred.
  • Experience: A minimum of three (3) or more years of experience or related healthcare experience required. Previous experience in an administrative, receptionist or coordinator role preferred.
