Administrative Coordinator for Project Management

We are seeking a highly skilled Administrative Coordinator to join our team at Magnify in Richmond. This exciting opportunity will allow the selected candidate to work collaboratively with the construction team, sub-contractors, and city officials.

The Administrative Coordinator will play a crucial role in maintaining open communications with stakeholders and ensuring all documents, permits, invoices/billing statements, etc. are received and managed appropriately throughout the life cycle of the project.

This is an excellent opportunity for an experienced contractor/subcontractor admin who is looking to take their career to the next level.

Main Responsibilities:

  • Oversee the entire document-related process, including obtaining necessary documents, permits, bills, certificates of occupancy, etc.
  • Ensure all documents are prepared, completed, and processed correctly and in a timely manner.
  • Track all necessary paperwork and remain aware of the current status of all project-related documents.
  • Manage subcontractor billing processes and assist with owner billing.
  • Participate in project meetings, taking minutes, and maintain open communication with senior project managers, project executives, sub-contractors, and other stakeholders.
  • Manage multiple calendars within the leadership team.

Necessary Skills and Qualifications:

  • Hands-on experience using Procore software.
  • A minimum of 3 years of experience in a similar administrative capacity within the construction industry.
  • Strong organizational and prioritization skills.
  • Effective written and verbal communication skills.

Estimated Salary Range: $60,000 - $80,000 per year, depending on experience.
