Position Overview:
The Receptionist at Lasting Change, Inc. plays a crucial role in overseeing the front office operations, managing incoming communication, and ensuring a welcoming environment for all visitors.

Key Responsibilities:
As a vital member of our team, you will be expected to:

  • Handle all incoming phone calls with professionalism and courtesy, directing calls to the appropriate personnel or taking messages as necessary.
  • Monitor and retrieve voicemail messages, ensuring timely responses.
  • Welcome and assist guests entering the office, providing a friendly and helpful atmosphere.
  • Support clients during their visits by facilitating access to the building post-appointment.
  • Assist in the collection of client payments and necessary documentation.
  • Oversee all mail operations, ensuring efficient handling and distribution.
  • Perform additional tasks as assigned by the Director of Operations.
  • Carry out general clerical duties to support office functionality.
  • Manage supply orders for various office needs, ensuring all areas are well-stocked.

Examples of Daily Tasks:
In this role, you will:

  • Greet all visitors warmly, inquiring how you can assist them.
  • Answer phone calls and route them to the correct individual or voicemail.
  • Receive and organize incoming mail for distribution.
  • Ensure timely and confidential handling of faxes.
  • Provide support to HR with printing and other administrative tasks as needed.
  • Complete other duties as required to support the mission of Lasting Change.

Qualifications:
To be successful in this position, candidates should possess:

  • A high school diploma.
  • Excellent verbal and written communication skills.
  • Strong organizational and clerical abilities.
  • The capability to manage multiple tasks efficiently.
  • The ability to maintain composure while interacting with callers.
  • Self-motivation and initiative.
  • A minimum of two years of experience in clerical or administrative roles.
  • Familiarity with office administration practices.
  • Proficiency in Microsoft Office applications.
  • The ability to work independently as well as collaboratively within a team.
  • Flexibility and adaptability to changing tasks.
  • Strong word processing skills.
  • A willingness to engage positively with all staff and visitors.
  • A high level of discretion when handling confidential information.
