Banker Lopez Gassler is currently recruiting for an experienced Legal Secretary for several of our office locations. We are looking for a Legal Secretary/Receptionist for our Ft. Lauderdale location. This is an in-office position.
Candidates must be upbeat, solution-oriented, team-focused, and have recent experience in a defense litigation firm. They must also be comfortable in a team that has both paper and digital case files. (Pay range will vary based on experience)
Duties and Responsibilities:
- Performs complex legal secretary work under limited supervision with some latitude for the use of initiative and independent judgment.
- Receives and screens telephone calls, providing information that may require the use of judgment and interpretation of policies and procedures.
- Prepares attorney time entry and edits billing memos.
- Opens, maintains, and closes files.
- Communicates with clients, opposing counsel, courts, agencies, and the general public.
- Schedules hearings, depositions, conferences, meetings, etc., and maintains attorney’s calendar.
- Prepares and types legal and administrative correspondence and documents at the direction of the supervisor and independently prepares some non-legal correspondence and documents at the direction of the supervisor. This includes transcription of digital dictation entries.
- E-Filing.
- Digital and paper file management.
- Acts as a resource for other secretaries and provides guidance when needed.
- Performs other duties as assigned by supervisor.
Qualifications:
- Associate's degree or equivalent work experience.
- Minimum five to seven years of progressive experience in a defense law firm.
- Experience with digital dictation transcription.
- Interpersonal skills necessary to communicate by e-mail, telephone, or in-person to provide information with ordinary courtesy and tact in an environment with a diverse group of personalities.
- Ability to organize and prioritize numerous tasks and complete them under time constraints while maintaining a high level of attention to detail.
- Ability to meet deadlines in an environment with frequent interruptions.
- Excellent writing and verbal communication skills.
- Ability to work independently as well as part of a team.
- Analytical and problem-solving skills. Ability to identify and resolve problems promptly.
- Flexible and solution-oriented.
- Advanced skills in computer technology using Microsoft Office Suite, Orion, and document management (Sharepoint).
- Ability to lift and carry thirty-five pounds.
