Procedure Scheduling Specialist

The Procedure Scheduling Specialist is responsible for organizing and managing appointments for patients undergoing medical procedures, as well as follow-up visits. This role involves ensuring that patients are informed about the requirements for their procedures and handling the necessary prior authorizations for additional tests.

Type: Part-Time
Schedule: Work hours are Monday through Friday, from 8 AM to 5 PM. Part-Time roles consist of fewer than 30 hours weekly.
Key Responsibilities:
- Collaborates with both internal and external healthcare providers to arrange necessary testing for scheduled procedures.
- Engages with patients to determine suitable times for appointments, addresses inquiries regarding testing requirements, and verifies that accurate insurance details are recorded.
- Handles prior authorization processes for ancillary testing efficiently.
- Maintains and updates patient records, charts, and relevant information to ensure timely access to accurate data.
- Responds to incoming calls and directs them as necessary, while also educating patients and their families about medications, treatment plans, and procedural protocols.
- Optimizes the MRI scheduling process.
- Assists in the screening process for MRI candidates.
- Prioritizes confidentiality and privacy in all interactions.
- Engages in professional development and maintains relevant certifications and affiliations.
- Participates in required meetings and committees as needed.
- Performs additional related tasks as assigned.
A minimum of a high school diploma or GED is required. An Associate's degree in medical assisting, medical office management, or a related field is preferred. A minimum of one year of administrative support experience in a clinical setting is necessary, with scheduling experience being advantageous.
Working Conditions:
The standard work environment is an office setting, requiring prolonged periods of sitting. The position involves extensive computer use, including typing and viewing screens for extended durations. Occasional bending, lifting, and reaching may be necessary for handling files and supplies, with the ability to lift up to 25 pounds. Manual dexterity is required to operate standard office equipment such as computers, telephones, and copiers. Vision must be correctable to 20/20, and hearing should be within normal ranges for effective communication. Regular interaction with staff, physicians, insurance representatives, and the public is expected, and the role may involve stressful situations.
