Administrative Support Specialist

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Domaine Real Estate in the Portland area.
About the RoleThis is an exceptional opportunity for a motivated individual to support our agents in their daily tasks, allowing them to focus on selling real estate and growing their business. As an Administrative Assistant, you will be responsible for maintaining database management systems, screening and directing phone calls, handling requests and queries, and scheduling meetings and appointments.
Key Responsibilities- Assist and support the owner in all business and personal areas needing assistance
- Maintain database management system(s)
- Screen and direct phone calls; distribute correspondence
- Handle requests and queries appropriately
- Schedule meetings and appointments
- Produce reports, presentations, and briefs
- Assist and support multiple agents with whatever they need
- Assist clients and help them to have an extraordinary experience
- Manage day-to-day office operations
- Track expenses accurately and create effective budgets
- Lead Management Assistance
- Marketing of Listings, Business, and Team through social media and other avenues
- Facilitate the closing process, ensuring all documents are complete and deadlines are met
- Coordinate inspections, appraisals, and mortgage processes
- Communicate with clients, agents, title companies, and lenders
- Manage transaction timelines and ensure smooth closings
- Maintain transaction files and records with meticulous attention to detail
- Outstanding organization
- Strong attention to detail
- Tech savvy; up-to-date with the latest office gadgets and applications and able to navigate new systems quickly
- Able to multitask and prioritize daily workload - can work on multiple projects at once
- Able to work independently to support a team and appropriately manage time
- Excellent verbal and written communication skills
- Strong problem-solving abilities
- Discretion and confidentiality
- Customer service focus
- College degree and social media experience preferred
- Real estate license preferred, or candidate will need to be willing to obtain a real estate license upon hiring (Agent will reimburse)
- Comfortable handling strong personalities
- Must be thorough and love to-do lists
- This person must have a Can and Will Do attitude
- Salary Range: $50,000-$60,000 based on experience
