PROGRAM & POSITION OVERVIEW:
Catholic Charities functions as the social services branch of the Catholic Church within the Archdiocese of San Francisco.

Established in 1907 to support orphans following the San Francisco earthquake, Catholic Charities operates as an independent nonprofit organization.

All financial contributions directly enhance Catholic Charities' programs throughout various counties.

This role is accountable for ensuring compliance with budgetary and cost requirements related to government contracts, preparing monthly invoices for reimbursement or unit-of-service billing to various governmental and nonprofit entities, and maintaining thorough documentation throughout the invoicing process.

The individual in this position should align with and support the Agency's mission and services. This role is based at the Headquarters in San Francisco.
KEY RESPONSIBILITIES:

- Generate monthly invoices for assigned contracts, ensuring compliance with grant budgets and allowable costs.

- Compile all necessary electronic documentation to support invoices, including Excel spreadsheets and general ledger reports, organized systematically for each grant.

- Maintain a clear accounting trail for invoiced amounts.

- Investigate and resolve discrepancies in the general ledger and supporting documentation.

- Collaborate with the Director of Contracts & Grants to determine appropriate actions and achieve satisfactory resolutions.

- Identify billing issues such as overspending, underspending, and misallocated expenses.

- Prepare journal entries to reflect invoices and any necessary adjustments.

- Generate required program and statistical reports for assigned contracts.

- Establish contract files through collections and closeout processes.

- Familiarize with billing databases of funders and internal agency software.

- Work alongside Program Management to ensure accurate accounting and billing of expenses in accordance with federal regulations and approved budgets.

- Maintain regular communication with representatives from government and nonprofit agencies regarding contract and grant inquiries.

- Adjust line-item budgets in collaboration with program managers and directors as needed.

- Monitor contract budgets, expiration dates, and reporting deadlines.

- Create and update spreadsheets for invoice documentation.

- Assist in preparing overall program budgets that incorporate contract revenue for internal reporting and contract proposals.

QUALIFICATIONS:
To excel in this role, candidates must meet the following criteria:
Education & Experience:
- Bachelor’s degree in Accounting preferred or equivalent experience of 2+ years in a relevant field.
- Familiarity with government contract billing is highly desirable.
- Knowledge of government application processes is advantageous.

Knowledge, Skills & Abilities:
  • - Proficient in desktop software, particularly Excel and Outlook, with the ability to adapt to various billing software.
  • - Strong organizational skills, meticulous attention to detail, and the capacity to prioritize tasks effectively.
  • - Excellent communication and interpersonal skills, with the ability to collaborate within a team environment.
