Overview:

The Front Desk Monitor plays a crucial role in providing exceptional customer service while managing the front entrance and reception area. This position involves answering phone calls, offering administrative assistance to staff and management, and welcoming visitors and residents both in person and over the phone.

Key Responsibilities:

  1. Deliver outstanding receptionist support to all on-site property needs, ensuring the highest quality service to incoming callers, visitors, and vendors.
  2. Collaborate with the Administrative Support team and the On-site Community Manager to efficiently oversee the reception area and manage inbound calls, while assisting with various administrative tasks.
  3. Assess inbound calls to determine the appropriate course of action.
  4. Welcome all visitors and residents, identifying their immediate requirements.
  5. Monitor deliveries and pickups to ensure proper handling.
  6. Assist in the organization and supervision of activities and events, including setup and breakdown as necessary.
  7. Submit maintenance requests for equipment or facilities requiring attention.
  8. Maintain cleanliness and sanitation of assigned work areas and facilities.
  9. Provide supervision and hands-on care in the Kids Zone, planning and executing activities for children aged 6 months and older.
  10. Support the Lifestyle Director with special events and activities.
  11. Perform additional related duties as assigned.

  • Competence in gathering information from callers and visitors in a professional manner.
  • Capability to manage multiple tasks simultaneously, prioritize effectively, and meet deadlines.
  • Strong organizational and tracking abilities.
  • Ability to thrive in a fast-paced, high-volume environment.
  • Proficiency in computer programs and company database systems, including MS Office (Excel, Word, and Outlook), internet, and email systems.
  • Ability to interact positively and effectively with staff at all levels.
  • Advanced verbal and written communication skills, with the ability to engage with all levels of management and staff.
  • Ability to work collaboratively within the department and across other departments.
  • Experience managing different age groups in the Kids Zone.

Physical Demands and Work Environment:

This position requires sitting at a workstation utilizing a computer in an office setting, walking throughout the property as needed, and setting up or taking down furniture. The role may involve various physical activities, including lifting and moving objects weighing up to 25 lbs or more.

Qualifications:

Education: High School diploma or equivalent is preferred.

Experience: A minimum of two years in a Receptionist, Administrative Support, or Customer Service role is preferred, with experience working with children aged 6 months and older being an advantage.
