Summary


The Senior Legal Administrative Assistant plays a pivotal role in coordinating office operations, performing advanced administrative tasks, and executing complex legal secretarial duties to enhance the efficiency of legal support functions.

This position demands a high volume of work and requires outstanding paralegal and organizational abilities.

Comprehensive knowledge of District Court and Superior Court appellate procedures, along with a solid understanding of the criminal justice system, is essential.

Exceptional communication skills and the ability to lead are critical. Candidates must demonstrate the capability to work swiftly, accurately, and meticulously, paying close attention to detail to meet various deadlines.

Responsibilities include maintaining intricate tracking systems to ensure timely submission of appellate briefs and related documents.

Utilizing significant independent judgment and initiative, the role involves formatting briefs and other legal documents in accordance with court protocols and policies within established timelines.

Proficiency in business English, including composition, grammar, spelling, punctuation, and proper citation of case law, is a necessity.


Key Responsibilities
(Duties may vary based on specific assignments)

Foster and maintain public relations with city, county, and state agencies, as well as the general public.

Manage incoming correspondence for the division and maintain organized filing systems and various manuals.

Participate in or conduct training sessions at seminars or professional gatherings.

Utilize independent judgment and initiative to format legal documents in compliance with court procedures and policies within required timeframes.

Oversee civil litigation files and assist with the preparation, filing, and serving of civil litigation documents as needed.

Update and manage reference materials for the office law library.

Provide support to the Legal Secretary Supervisor and other staff as required.


Independently manage daily secretarial and office functions for a specific program, ensuring timely and efficient completion of tasks; develop office forms and procedures, and perform administrative duties related to personnel, daily operations, and recordkeeping; review completed work for compliance with departmental and legal standards.


Oversee or execute the preparation, maintenance, and review of detailed records, logs, dockets, and various case files, ensuring accurate and timely processing of cases.

Enter case information into computer systems and conduct thorough legal research to verify information as necessary.

Provide guidance and support to team members in analyzing and addressing complex case issues.


Draft and distribute legal documents, forms, briefs, correspondence, reports, and other materials using standard office equipment such as Microsoft Office, scanners, calculators, and photocopiers.

Ensure proper layout and grammatical accuracy in all materials produced.

Initiate the completion of recurring reports and standard correspondence.

Maintain comprehensive records, conducting periodic audits as necessary; establish follow-up systems for reports and other documents requiring periodic action.

Attend court sessions as necessary to assist legal staff and provide support to victims and witnesses.

Stay informed on legislation, legal requirements, and regulations affecting unit operations, advising team members of any changes in procedures to align with updated legal standards.

Perform other related duties as assigned.

Qualifications

EDUCATION AND EXPERIENCE:


An Associate's or Bachelor's degree in paralegal studies, business administration, or a related field, coupled with five years of progressively responsible experience; or any combination of education and experience that equips the candidate with the necessary skills, knowledge, and abilities to excel in this role.


LICENSES, CERTIFICATES & OTHER REQUIREMENTS:
A valid Washington State Driver's License is required.
Notary Public certification is advantageous.

Thorough understanding of office management and supervisory practices.

Extensive knowledge of legal secretarial practices, procedures, and equipment.

In-depth knowledge of legal terminology, forms, and documentation.

Comprehensive understanding of departmental functions, procedures, and applicable laws and regulations.


Ability to work effectively under pressure to meet deadlines, even with last-minute assignments.

Proficient in business and legal English, including composition, grammar, spelling, punctuation, and letter formatting.

Thorough knowledge of court procedures, legal processes, and the criminal justice system.

Basic math skills, including the ability to perform accurate calculations.

Proficient in operating standard office equipment such as Microsoft Office, scanners, calculators, and photocopiers.


Excellent verbal communication skills to explain detailed policies and procedures and interact with employees, law enforcement, attorneys, and the public with courtesy and good judgment.

Ability to read, comprehend, apply, and explain County and departmental policies and legal requirements relevant to the role.


Ability to prioritize tasks and coordinate secretarial and clerical functions to ensure timely completion of assignments.


Ability to research, interpret, and analyze complex legal information to develop sound proposals and solutions.


Ability to establish and maintain complex manual and computerized filing systems and prepare narrative or statistical reports.

Ability to work quickly, accurately, and thoroughly with a keen attention to detail to meet deadlines.

Ability to maintain confidentiality regarding sensitive personal and legal information.

Typing speed of 55 WPM is required.

Willingness to work outside of regular office hours when necessary.
