Position Overview

The Spa Guest Services Coordinator is responsible for managing and organizing all spa offerings, including scheduling treatments, pool access, and special events. This role plays a crucial part in maintaining the overall quality and ambiance of the spa environment. Additionally, the coordinator oversees retail inventory, aids in monthly stock assessments, and ensures the retail area is visually appealing while notifying management of low stock levels and guest inquiries regarding products.

The Spa Guest Services Coordinator is tasked with opening and closing the spa, managing cash transactions, and utilizing the spa management software effectively.

Key Responsibilities:

  1. Answer phone calls promptly, providing detailed information about spa services and related offerings.
  2. Efficiently book appointments for guests, assisting senior staff with scheduling and necessary documentation.
  3. Welcome guests warmly and provide thorough explanations of services available in the spa.
  4. Maintain a friendly demeanor and engage guests in pleasant conversation.
  5. Possess in-depth knowledge of all spa services and retail products.
  6. Clearly articulate and promote spa services and retail offerings enthusiastically.
  7. Guide guests through the spa facilities as needed, ensuring a relaxed and welcoming experience.
  8. Promote current service specials and highlight the features of the spa.
  9. Communicate effectively with senior staff regarding guest requests or concerns.
  10. Complete daily administrative tasks as directed.
  11. Manage the opening and closing procedures of the spa, including cash handling and reporting.
  12. Ensure the front desk and reception areas are kept clean and organized.
  13. Assist in planning and executing monthly retail inventory processes.
  14. Utilize downtime to review procedures and seek guidance from management.
  15. Perform additional duties as a Spa Attendant when necessary.
  16. Understand and implement emergency procedures as required.
  17. Incorporate the company’s commitment to service excellence into all job functions.

Qualifications:

  1. Preferred experience of at least two years in spa or hotel front desk and/or retail settings.
  2. CPR certification is a plus.
  3. High school diploma or equivalent is required.
  4. Proficient computer skills and familiarity with relevant software.
  5. Dependability and punctuality are essential.
  6. Ability to perform under pressure while maintaining a calm demeanor.
  7. Commitment to providing an exceptional guest experience.
  8. Willingness to work flexible hours, including evenings, weekends, and holidays.
  9. Ability to work in a tranquil environment that may involve exposure to heat and steam.
  10. Physical capability to stand for extended periods and perform various physical tasks.
  11. Manual dexterity and strong communication skills are necessary.
