Position Overview:
The Operations Manager is tasked with overseeing a diverse portfolio of commercial properties. The ideal candidate will possess a solid foundation in property management and construction oversight. This role requires a mindset that aligns with ownership perspectives and the capability to guide the project team effectively.

Key Responsibilities:
Manage the daily operations of the properties, including lease management, maintenance, cleaning, security, engineering, and safety protocols.
Generate monthly management and financial reports.
Oversee the preparation of annual budgets, monthly revenue forecasts, and year-end financial reconciliations.
Lead capital improvement projects.
Review and authorize all contracts, expenses, and purchase orders related to property management.

Solicit vendor bids for property work and award contracts; maintain a comprehensive understanding of all vendor agreements and ensure adherence to them.

Possess sufficient construction knowledge to coordinate and supervise all renovation work, ensuring compliance with building standards, lease provisions, and local regulations.

Establish and uphold a proactive tenant relations program.
Understand tenant leases, especially clauses that impact property operations.
Support the leasing and marketing initiatives for the properties. Foster positive relationships with listing brokers and external agents. Engage in lease negotiations as needed and oversee the development of lease documents.
Direct and oversee legal counsel in the preparation of legal documents and other legal matters, including litigation.
Set operational policies that align with ownership objectives.
Responsible for recruiting, training, motivating, and managing property staff. Conduct performance evaluations.

The Operations Manager must be well-versed in the accounting requirements of the properties and ensure timely and accurate reporting.

The Operations Manager should be thoroughly familiar with the management contract and all its stipulations.
Monitor and ensure compliance with insurance requirements for tenants and vendors, coordinating claims as necessary.
4 – 5 years of experience in commercial property management is essential.
Excellent verbal and written communication skills are required.
Strong customer service abilities are necessary.

SUPERVISORY DUTIES:
Accountable for the overall direction, coordination, and evaluation of employees within the designated area. Execute supervisory responsibilities in accordance with organizational policies and applicable laws.

Responsibilities include interviewing, hiring, and training staff; planning, assigning, and directing work; evaluating performance; rewarding and disciplining employees; addressing complaints and resolving issues.

Provide leadership and mentorship to the team.

QUALIFICATIONS:

EDUCATION:
A bachelor's degree is required.

TECHNICAL SKILLS:
Strong proficiency in Microsoft Word, Excel, and Outlook.
Competence in accounting software.
Ability to utilize other software applications as needed.
OTHER DESIRED SKILLS AND ABILITIES (preferred)
Experience specific to the industry
Knowledge of business and management principles and practices
Understanding of supervisory principles and practices
Familiarity with project management principles and practices

REASONING ABILITY:

Must possess the ability to solve practical problems and address a variety of concrete variables in situations with limited standardization.

Ability to interpret various instructions provided in written, oral, diagrammatic, or schedule formats.
