Overview

Under the supervision of a designated manager, execute intricate technical accounting tasks in the preparation, processing, and upkeep of College and District financial records.

Key Responsibilities

1. Maintain diverse ledgers, registers, and journals; ensure accuracy by posting, checking, and balancing records; create journal entries.
2. Compile daily journals from cash register sales receipts; manage credit card charge invoices through accounts receivable.
3. Validate account codes for accounts payable invoices; process payments; input payment details into the system and generate checks; confirm the appropriateness of invoices in relation to budgeted funds.
4. Prepare financial statements and supervise accounting operations for designated programs such as food services and bookstores.
5. Oversee accounts payable and receivable invoices throughout the fiscal year.
6. Analyze account transaction requisitions for proper documentation, signatures, account numbers, and adequate fund balance for payments; enter journal entries for various account transactions into general ledgers; amend financial records as necessary; maintain comprehensive financial records.
7. Monitor budgets for various accounts; manage billing for reimbursements of projects across different accounts; ensure accurate coding for account transactions; prepare monthly budget reports for accounts.
8. Bill state agencies for various projects related to campuses and District Office programs.
9. Prepare journal entries for fringe benefits on various projects; create billings to transfer funds from various accounts to general funds; assess projects for compliance with accuracy and accounting standards.
10. Generate expenditure and billing reports for various state and county agencies; compile quarterly and yearly financial reports for a variety of college departments; calculate quarterly sales taxes for departments.
11. Input payroll data into the system; print payroll checks and maintain payroll check registers; gather and send tax form information for the District Office.
12. Reconcile monthly bank statements for various payrolls and accounts; prepare monthly, quarterly, and annual financial statements and reports as required; distribute to various agencies.
13. Process refund requests for students; monitor student fee deferrals; coordinate changes with the financial aid office; bill enrollment and material fee charges from the District Office.
14. Analyze cash flow.
15. Review and approve budget transfers from college campuses.
16. Supervise and train staff involved in collecting, processing, and accounting for cash and tickets as required.
17. Perform related duties as assigned.

Minimum Qualifications

Any combination equivalent to: graduation from high school supplemented by some college-level coursework in accounting, business, or a related field and two years of progressively responsible experience in maintaining fiscal record keeping, accounting, and reporting.

Knowledge and Skills
KNOWLEDGE OF:
Principles and procedures of bookkeeping and basic accounting.
General accounting and invoice auditing procedures.
Relevant laws, rules, and regulations related to bookkeeping and basic accounting.
Basic arithmetic.
Modern office procedures, methods, and computer equipment.

ABILITY TO:
Maintain and balance a variety of financial records, ledgers, and accounts.
Perform computational tasks and other bookkeeping functions with speed and accuracy.
Audit records and invoices for payment. Read and understand financial records, reports, and technical and procedural requirements.
Apply relevant laws, rules, and regulations of bookkeeping and basic accounting.
Maintain accurate and complete financial records.
Compile data to prepare financial and statistical reports.
Operate a computer, adding and calculating machine.
Communicate effectively both orally and in writing.
Establish and maintain cooperative and effective working relationships with others.

SALARY RANGE: $4, $5,824.45 monthly; Maximum Entry Level Salary: $4,330.81 monthly
