Position Overview

Under the supervision of a designated manager, engage in intricate technical accounting tasks related to the preparation, processing, and upkeep of financial records for the College and District.

Key Responsibilities

1. Maintain and oversee various ledgers, registers, and journals; ensure accuracy by posting, checking, and balancing records; generate journal entries.
2. Compile daily journals from sales receipts; manage credit card charge invoices through the accounts receivable ledger.
3. Validate account codes for accounts payable invoices; process payments; input payment details into the system and issue checks; ensure the appropriateness of invoices concerning budget allocations.
4. Prepare financial statements and supervise accounting functions for designated programs such as food services and retail operations.
5. Manage accounts payable and receivable throughout the fiscal period.
6. Analyze transaction requisitions for proper documentation, signatures, account numbers, and adequate fund balances for payments; enter journal entries into general ledgers; amend financial records as needed.
7. Monitor budgets for various accounts; oversee billing for project reimbursements; confirm coding for transactions; prepare monthly budget reports.
8. Bill state agencies for various projects related to the District Office and other programs.
9. Prepare journal entries for fringe benefits; generate billings to transfer funds between accounts; assess projects for compliance with accounting standards.
10. Create expenditure and billing reports for state and county agencies; compile quarterly and annual financial reports for various departments; calculate quarterly sales taxes.
11. Input payroll data into the system; print payroll checks and registers; compile and send tax form information as required.
12. Reconcile monthly bank statements for various accounts; prepare financial statements and reports as necessary; distribute to relevant agencies.
13. Process student refund requests; monitor fee deferrals; coordinate changes with financial aid; manage enrollment and material fee charges.
14. Analyze cash flow and approve budget transfers.
15. Supervise and train staff involved in cash collection, processing, and accounting.
16. Perform additional duties as assigned.

Minimum Qualifications

Any combination equivalent to: graduation from high school with some college-level coursework in accounting, business, or a related field, along with two years of progressively responsible experience in fiscal record maintenance, accounting, and reporting.

Knowledge and Skills

KNOWLEDGE OF: Principles and procedures of bookkeeping and basic accounting; general accounting and invoice auditing procedures; relevant laws, rules, and regulations; basic arithmetic; modern office practices and computer systems.
ABILITY TO: Maintain and balance diverse financial records, ledgers, and accounts; perform computational tasks with accuracy; audit records and invoices; comprehend financial documents and technical requirements; apply relevant laws and regulations; maintain thorough financial records; compile data for reports; operate office equipment; communicate effectively; establish and maintain professional relationships.
SALARY RANGE: $4, $5,824.45 monthly; Maximum Entry Level Salary: $4,330.81 monthly
