We are seeking a skilled and experienced Event Planning Specialist to become a vital part of our hospitality team at Hopkins and Company. Our Event Planning Specialists earn a competitive salary ranging from $45,000 to $52,000 annually, along with weekly commission opportunities.

Position Overview
The Event Planning Specialist collaborates closely with the General Manager and the Director of Sales & Events to support the service team and enhance the overall guest experience. This role involves managing inquiries related to private dining, coordinating with the Director of Sales & Events to plan and execute events, and fostering relationships to ensure repeat patronage. On evenings without scheduled events, the specialist will assist the General Manager in ensuring guests receive prompt and attentive service, addressing special requests, and taking ownership of the guest experience. They will oversee all aspects of the dining environment, ensuring that music and lighting are suitable for the occasion, checking table arrangements, and adjusting decor as needed. They embody the essence of hospitality, leading by example with a polished appearance and professional demeanor.

Additionally, the Event Planning Specialist works in tandem with the Marketing Department to drive sales and enhance guest engagement. This position is responsible for creating, implementing, and overseeing event training and managing private events to guarantee their success.

Key Responsibilities:

  • Act as an ambassador for the restaurant, staff, and guests, exemplifying and promoting outstanding service and hospitality.
  • Accurately record and communicate guest needs, notes, and special occasions using all relevant technology, ensuring the integrity of reservation systems.
  • Manage phone communications, check messages, and relay information to the appropriate parties promptly.
  • Assist with menu updates and layout maintenance using Adobe Creative Suite's Illustrator, ensuring high standards of hospitality through meticulous editing.
  • Support the Director of Sales and Events in all phases of event management, including sales, planning, marketing, service, and administrative tasks.
  • Help organize event details, including layout, decor, seating arrangements, timing, and guest requests.
  • Oversee and facilitate events from the initial greeting to the farewell, engaging with guests throughout their experience and ensuring proper event space breakdown.
  • Under the guidance of the leadership team, assist in training and directing staff during private events.
  • Build long-term, value-based relationships with customers to achieve sales goals by soliciting feedback to ensure a positive dining experience and following up on any concerns with the General Manager.
  • Ensure timely collection of payments and assist in maintaining accurate financial records.
Qualifications:
  • Minimum of 2 years' experience in a similar role within the restaurant industry.
  • Must be available to work a flexible schedule, including evenings, weekends, and holidays.
  • Proficient in OpenTable; experience with TripleSeat is a plus.
  • Demonstrated ability to effectively engage with individuals from diverse backgrounds.
  • Service-oriented with strong presentation skills.
  • Ability to manage time effectively, plan ahead, and prioritize tasks to balance workload and address urgent situations promptly.
