Position Overview:
The Events Management Associate will be tasked with the planning, budgeting, and execution of events as designated by the Director of Sales and Sales Manager. Under the guidance of the Director of Sales, the Events Coordinator will assist clients with their scheduled events. This role requires effective communication with clients, vendors, and venue teams, while maintaining a leadership presence that combines creativity with a business-oriented approach and strong relationship-building skills.
Key Responsibilities:
- Oversee the planning and execution of special events across various venues.
- Engage directly with clients throughout the event planning journey to understand their needs and objectives, manage guest lists, and coordinate vendor requirements.
- Meet with sponsors, committees, and executives to discuss event specifications, including scope, format, budget, and special requests.
- Negotiate contracts with venue staff, caterers, hospitality personnel, audiovisual providers, and other vendors to secure necessary services while adhering to budget constraints.
- Supervise events from preparation and setup through to teardown, ensuring compliance with planned formats, regulatory requirements, vendor cooperation, and overall satisfaction of participants and sponsors.
- Conduct post-event evaluations, meet with clients to confirm satisfaction, review invoices, approve payments, and document any issues and resolutions.
- Manage promotional activities, including content marketing and partnerships.
- Facilitate internal communications with departments such as Operations, Sales, and Human Resources, and liaise with vendors for catering, photography, design, and audiovisual needs.
- Ensure timely delivery of event milestones and objectives.
- Provide exceptional service to event attendees and stakeholders.
- Conduct follow-ups post-event, evaluating relationships with vendors and sponsors.
- Collaborate closely with the Sales and Operations Manager and Director of Sales to ensure a seamless transition from event booking to event execution.
- 2-4 years of relevant experience.
- Background in hospitality and food service sectors.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and capable of learning necessary business systems.
- Understanding of legal and risk considerations related to food service, contract fulfillment, and leases.
- Strong problem-solving abilities.
- Excellent customer service skills for interaction with artists, management, and high-profile individuals.
- Highly organized and adaptable, with the ability to remain calm under pressure.
- Experience in budgeting and inventory management, with the capability to handle cash and checks, calculate totals, and generate expense reports.
