Position Overview:

The Events Management Professional will be tasked with the organization, budgeting, and execution of events as designated by the Director of Sales and Sales Manager. Under the guidance of the Director of Sales, the Events Coordinator will assist clients with their planned events. This role involves advancing, planning, and communicating effectively with clients, vendors, and venue teams. The Events Coordinator must embrace a leadership position that requires a creative, business-oriented mindset and the ability to foster enduring relationships with clients and vendors.

Key Responsibilities:
  • Oversee the planning and execution of special events across various venues.
  • Maintain direct communication with clients throughout the event planning journey to understand their needs and objectives, coordinate guest lists, and ensure all parties are informed of relevant details.
  • Engage with sponsors, committees, organizations, and executives as needed to discuss and finalize event specifications, including scope, format, budget, and special requirements.
  • Negotiate contracts with venue staff, caterers, hospitality personnel, A/V providers, and other vendors to secure necessary services while adhering to budget constraints.
  • Supervise events from preparation and setup through to teardown, ensuring compliance with planned formats, regulations, vendor cooperation, and overall satisfaction of participants and sponsors.
  • Conduct post-event evaluations promptly, including client meetings to ensure satisfaction, reviewing invoices, approving payments, and documenting any issues and resolutions.
  • Manage promotional activities such as social media, email marketing, and partnerships.
  • Facilitate internal communications with departments such as Operations, Sales, and Human Resources, and liaise with vendors for catering, photography, design, and audiovisual needs.
  • Ensure timelines are met for all event deliverables.
  • Provide exceptional service to event attendees and stakeholders.
  • Conduct follow-ups after events, evaluating outcomes and maintaining relationships with vendors and sponsors.
  • Collaborate closely with the Sales and Operations Manager and Director of Sales to ensure a seamless transition from event booking to event execution.
Qualifications:
  • 2-4 years of relevant experience.
  • Background in hospitality and food service sectors.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and capable of learning necessary business systems.
  • Understanding of legal and risk considerations related to food service, contract fulfillment, and leases.
  • Strong problem-solving abilities.
  • Exceptional customer service skills for interacting with artists, management, and other high-profile individuals.
  • Highly organized and adaptable, able to maintain composure under pressure.
  • Experience in budgeting and inventory management, with the ability to handle cash and checks, calculate totals, and prepare expense reports.
