Job Overview

POSITION SUMMARY:

The Absence Management Coordinator plays a crucial role in overseeing and managing the organization’s leave programs, including but not limited to Workers' Compensation, Family and Medical Leave Act (FMLA), California Family Rights Act (CFRA), Americans with Disabilities Act (ADA), and Pregnancy Disability Leave (PDL). This position collaborates closely with various departments, including benefits, employee relations, and legal teams, to provide guidance and support to both employees and management regarding leave policies and accommodations.

KEY RESPONSIBILITIES:

  • Act as the primary liaison for employees regarding all inquiries related to leaves of absence and accommodations.
  • Ensure employees understand their responsibilities and the necessary documentation required for leave eligibility.
  • Interpret and implement leave policies in compliance with relevant state and federal laws.
  • Manage all paperwork related to leave requests, assess eligibility, and track leave usage.
  • Maintain communication with employees on leave to facilitate their return to work.
  • Advise management and staff on the interplay between leave laws and other benefits.
  • Oversee the reintegration process for employees returning from various types of leave.
  • Coordinate ADA interactive meetings for employees seeking accommodations.
  • Prepare and manage all required leave documentation in accordance with legal deadlines.
  • Conduct audits of leave processes to ensure compliance and accuracy.
  • Stay informed on all relevant leave laws and regulations.
  • Develop and implement standard operating procedures to enhance leave administration efficiency.
  • Ensure confidentiality of all health-related information in accordance with established policies.
  • Collaborate with HR and legal teams to create training resources on leave policies.
  • Perform additional duties as assigned.

QUALIFICATIONS:

  • Bachelor's degree in Human Resources, Occupational Health, or a related field, along with 2-3 years of experience in leave management.
  • Valid State Driver's License with a clean driving record.
  • Familiarity with HIPAA regulations.
  • Bilingual proficiency in Spanish is required.

SKILLS AND ABILITIES:

  • Experience in leave administration or a related HR function.
  • Comprehensive knowledge of state and federal leave laws and their implications.
  • Strong analytical and problem-solving capabilities.
  • Excellent organizational and time management skills.
  • Ability to identify issues, gather data, and draw valid conclusions.
  • Attention to detail and ability to handle confidential information.
  • Effective communication skills and the ability to advise management.
  • Ability to make informed decisions based on policy knowledge and experience.
  • Proficiency in Microsoft Office Suite, including Outlook, Excel, and Word.

PREFERRED QUALIFICATIONS:

  • Knowledge of California workers' compensation laws.
  • Experience with HR software such as UKG and ADP.
  • Background in the Agriculture or Food Manufacturing sector.
  • Understanding of California and Washington State leave regulations.

PHYSICAL REQUIREMENTS:

  • Ability to sit or stand for extended periods.
  • Occasional lifting of items up to 20 lbs.

WORK SCHEDULE:

  • Standard working hours from 8:00 AM to 5:00 PM, Monday through Friday, with occasional requirements for after-hours support.
  • Participation in weekend support rotation may be necessary.
