KEY RESPONSIBILITIES:

The Leave Administration Expert will oversee the coordination and management of the organization’s leave programs, which encompass both industrial and non-industrial leaves, including but not limited to Workers Comp, FMLA, CFRA, ADA, and PDL. This role will collaborate closely with the benefits, employee relations, legal, and workers' compensation teams, serving as a vital resource for employees and managers navigating the complexities of leave and accommodations.

  • Act as the primary contact for employee inquiries regarding leaves of absence and accommodation requests.
  • Ensure employees understand their responsibilities and the necessary documentation for qualifying for and taking leave.
  • Interpret and implement leave policies in compliance with relevant state and federal laws.
  • Manage all required paperwork, assess leave eligibility, designate leave, and request medical certifications as necessary.
  • Maintain regular communication with employees on leave to support their return to work.
  • Advise management and staff on the interplay between leave laws and other benefits.
  • Oversee the return-to-work process for employees coming back from various leaves.
  • Facilitate ADA interactive meetings for accommodation requests in a timely manner.
  • Prepare and track all Leave of Absence documentation to meet compliance deadlines.
  • Complete state disability and paid family leave claims, conducting audits of leave processes.
  • Stay informed on state leave laws and federal regulations regarding leaves of absence.
  • Develop standard operating procedures to enhance workflow and efficiency in leave administration.
  • Ensure the confidentiality of all protected health information in accordance with applicable regulations.
  • Collaborate with Benefits, Legal, and HR teams to create training resources on leave policies.
  • Perform additional related duties as required.

QUALIFICATIONS:

Minimum Requirements:

  • Bachelor's degree in Human Resources, Health and Safety, or a related field, along with 2-3 years of experience in leave management.
  • Valid State Driver's License with a clean driving record.
  • Knowledge of HIPAA compliance regulations.
  • Bilingual proficiency in Spanish, with the ability to read, write, and speak fluently.

Preferred Skills:

  • Experience in leave administration or a related HR field.
  • Strong understanding of state and federal leave laws and workers' compensation regulations.
  • Excellent analytical and problem-solving capabilities.
  • Exceptional organizational and time management skills.
  • Ability to identify issues, gather data, and draw conclusions.
  • Attention to detail and commitment to confidentiality.
  • Strong communication skills with the ability to provide recommendations to management.
  • Proficiency in Microsoft Office applications including Outlook, Excel, and Word.

PHYSICAL REQUIREMENTS:

  • Ability to sit or stand for extended periods.
  • Capability to lift and carry items weighing up to 20 lbs.

WORK SCHEDULE:

  • Day shift (8:00 AM - 5:00 PM) Monday through Friday, with potential for additional hours as needed.
  • Participation in a weekend rotation may be required for support.
