Job Description

We are seeking an experienced Administrative Assistant to provide administrative support and organizational assistance to our team. The successful candidate will have exceptional PowerPoint skills, knowledge of social media platforms, attention to detail, solid organizational skills, and the ability to meet tight deadlines while juggling multiple critical requests.

Key Responsibilities:
  • Greet visitors, answer calls to main phone line and follow up on inquiries as necessary
  • Manage complex calendars of meetings and appointments
  • Collate and distribute mail daily, alert employees when mail or packages are delivered
  • Organize meeting lunches, refreshments, etc. and support administrative needs during meetings
  • Prepare presentations using PowerPoint software
  • Assist in developing and maintaining the organization's content calendar
  • Assist with development, content creation, and publishing of the FLPPS and GRHHN external digital newsletters, and the FLPPS team digital newsletter
  • Assist with maintaining, monitoring, and creating content for organization's social media
  • Other duties as requested or assigned

Provide Back-Up Support to the Executive Administrative Assistant:

  • Arrange travel, prepare expense reports, reconcile credit card statements
  • Organize and maintain files for corporate documents
  • Monitor office supplies' inventory, order as needed
  • Oversee office facilities, including maintenance, supplies, and equipment
  • Act as liaison to building manager; report maintenance issue immediately
  • Act as point of contact for coordination and scheduling of all activities as requested
  • Follow up with employees and external entities as needed to complete tasks
