Work Schedule: Monday through Friday, with varying hours between 8 AM and 6 PM.

Key Responsibilities:

  • Welcome patients warmly and professionally.
  • Manage incoming calls, schedule appointments, and handle referrals.
  • Document accurate phone messages and patient information.
  • Verify and update patient records for accuracy.
  • Facilitate patient check-in and check-out processes.
  • Monitor patient flow in the reception area and communicate effectively with patients.
  • Proactively manage patient payments and billing inquiries.
  • Maintain weekly inventory of products.
  • Ensure respectful and empathetic treatment of all patients.
  • Process inventory orders as needed.
  • Prepare end-of-day reports and balance payment totals.
  • Distribute incoming reports and correspondence appropriately.
  • Address all phone messages, faxes, and interdepartmental communications promptly.
  • Assist colleagues as required.
  • Perform additional duties as assigned by management.

Qualifications:

Education and Experience:

  • High School Diploma or GED (required).
  • 1-3 years of recent experience as a Medical Receptionist in a clinical or surgical environment (preferred).
  • Prior experience in a dermatology setting (preferred).

Skills and Abilities:

  • Exceptional customer service and communication skills.
  • Understanding of HIPAA regulations.
  • Able to manage multiple tasks effectively.
  • Strong organizational and time management abilities.
  • Capable of thriving in a fast-paced and occasionally stressful environment.
  • Detail-oriented with a focus on accuracy.
  • Proficient in operating multi-line phone systems.
  • Familiar with standard office equipment (e.g., computers, fax machines, copiers, scanners).
  • Intermediate computer skills and experience with EMR systems.
  • Fluent in English.
  • Able to sort and file materials accurately.
  • Willingness to travel to provide coverage for other local offices as needed.

Physical Requirements:

  • Ability to sit for extended periods, with some standing, stooping, and reaching.
  • Manual dexterity sufficient for keyboard operation.
  • Correctable vision to 20/20 and normal hearing range for telephone communications.
  • Capability to lift and carry up to 30 pounds.
