Job SummaryWe're seeking an experienced Office Operations Manager to play a central role in the success of our dynamic academic setting. As the ideal candidate, you'll manage day-to-day operations with expertise and enthusiasm, nurturing positive relationships with patients and staff, handling staff interviews and terminations, and ensuring smooth scheduling of resident clinical experiences.
Key Responsibilities- Assign, direct, and manage staff duties, as assigned by the program director, in accordance with office policies and applicable laws.
- Determine staff schedules around the needs of the patients and residents, including periodic coverage between locations.
- Monitor staff performance with audit forms as directed by the program director.
- Coordinate team meetings and participate in morning huddles.
- Engage in conflict resolution.
- Manage compliance with OSHA, state, and federal regulations.
- Oversee patient relations and handle patient complaints. Monitor patient relations with existing patient satisfaction surveys and online review platforms.
- Help explain office policy and university-based clinic policies to patients. Help support staff as needed (i.e., appointment scheduling, collections, insurance, etc.).
- Position will involve management of 2 separate clinic locations and requires travel between both locations on a regular basis (2-3 days per week).
- Generate periodic clinic reports and meet with the program director to review. Key production, reports, etc.
- Collaborate with the Marketing department for marketing, promotional materials, and social media content. Ensure distribution of materials and monitor expiration dates on materials.
- Monitor and manage comments and questions that arrive via social media channels. Develop and implement a strategy for negative reviews on sites such as Yelp or Google.
- Coordinate event planning, volunteer, and mentorship opportunities, community outreach, and similar programs as it pertains to clinic hours and operations.
- High school diploma or equivalent; some college preferred.
- Dental experience preferred.
- Knowledge of computers for word processing, insurance claims processing, and records management (Excel, electronic health records, Outlook).
- Experience in office and staff management.
- Maintains a Nevada driver's license, insurance, and a good driving record.
