Job Summary

The Administrative Assistant III plays a vital role in supporting the department and department director(s) by performing routine administrative tasks. This position requires a high level of independence, with minimal supervision, and involves a range of clerical and secretarial duties.

Key Responsibilities
  • Administrative Support: Provide administrative assistance to the department director and staff, including word processing, spreadsheet creation, and filing.
  • Communication: Respond to requests for information, screen telephone calls and visitors, and determine which requests should be handled by the supervisor or staff.
  • Information Management: Collect and maintain information from files and staff for routine inquiries, and refer non-routine requests to the supervisor or staff.
  • Document Preparation: Create spreadsheets, compose correspondence, manage databases, and create presentations, reports, and documents as assigned.
  • Scheduling: Schedule activities as directed.
  • Clerical Functions: Perform other clerical functions as annotated in company policies, department practices, and standing operating procedures.
  • File Management: Prepare and maintain files, and file papers and documents into appropriate files.
  • Mail Processing: Process department mail, including the preparation and receipt of FEDEX and UPS shipping.
Requirements
  • Education: High School Diploma or General Equivalency Degree.
  • Experience: Minimum of 3 years of experience in a professional office.
Preferred Qualifications
  • Knowledge: Knowledge of modern office practices and procedures.
  • Communication Skills: Ability to operate and answer the telephone responsively and professionally.
  • Discretion: Ability to maintain confidential information and exercise discretionary judgment.
  • Technical Skills: Proficient in Microsoft Word, Microsoft Outlook, Microsoft Excel software programs, and the Internet.
  • Typing Speed: Ability to type 35 words per minute.
  • Education: Associates degree from an accredited college, university, or trade school.
  • Experience: 4 years' experience in a professional office.
  • Administrative Experience: 3 years' experience working in an administrative role.
