The M&A Legal Support Specialist plays a crucial role in assisting attorneys and senior management by executing a range of legal administrative tasks.
Key Responsibilities- Manage multiple phone lines; effectively screen and direct calls as necessary.
- Organize calendars, schedule appointments, and coordinate conference calls.
- Draft legal documents, business proposals, and prepare stock certificates.
- Assist in the organization and management of both physical and digital files.
- Revise and proofread correspondence and various legal documents.
- Establish and maintain attorney files in both hard copy and electronic formats.
- Support attorneys throughout the client onboarding process.
- Arrange travel, transportation, and accommodations through appropriate channels.
- Collaborate with Conference Services to secure meeting rooms, catering, and audio/visual equipment.
- Prepare and process client invoices in conjunction with the Billing department.
- Handle expense reporting through the Firm's expense management system.
- Maintain attorney schedules using the Firm's diary application.
- Provide coverage for other assistants as needed.
- Perform additional duties as required.
- Excellent verbal and written communication skills.
- 1 to 2 years of experience in a secretarial role within a professional environment.
- Typing proficiency of 50+ words per minute; adept with personal computers and relevant software.
- Strong command of MS Word is essential.
- Competence in addition, subtraction, multiplication, and division.
Must demonstrate strong attention to detail and the ability to work collaboratively within a team setting.
Organizational SkillsAbility to prioritize, plan, and manage multiple tasks effectively while meeting deadlines in a fast-paced environment.
Preferred Qualifications- 3 years of secretarial experience in the M&A division of a law firm is preferred.
- Basic knowledge of MS Excel and PowerPoint is advantageous.
- High School Diploma or GED equivalent is required.
- Associate's Degree is preferred.
The estimated salary range for this position is between $80,000 and $95,000. Actual compensation will be determined based on various factors, including qualifications, relevant experience, and education.
This position is classified as non-exempt, making it eligible for overtime pay.
