Overview

GENERAL SUMMARY OF POSITION:

Under the guidance of the Department Chair or designated representative, the Administrative Officer II is tasked with orchestrating and overseeing the administrative and operational functions of a department engaged in education, research, clinical services, and community outreach.

Responsibilities

MAJOR RESPONSIBILITIES:

  • Collaborate with School representatives to establish and prioritize departmental objectives and strategies. Analyze trends, assess implications, and identify opportunities for enhancing departmental effectiveness.
  • Promote continuous enhancements in operational efficiency and processes.
  • Lead analytical evaluations of current or proposed services and initiatives to provide a financial foundation for management decisions aimed at boosting operational and financial performance.
  • Assist the Chair in assessing spatial requirements for faculty and revenue-generating activities within the Department.
  • Oversee the facility requirements for the department, including renovations and daily operations in alignment with the department's research and educational mission.
  • Counsel the Chair on Human Resource matters, including the formulation and implementation of organizational and staffing strategies for both faculty and non-faculty roles.
  • Accountable for the recruitment, compensation frameworks, and performance evaluations of faculty members.
  • Provide guidance to the Chair, faculty, and departmental staff on employee relations matters.
  • Supervise all personnel actions related to hiring, terminations, salary adjustments, contracts, and funding.
  • Act as an advisor to faculty regarding pre and post-award activities related to grant administration.
  • Assist in negotiating research and trust fund agreements with external entities.
  • Develop and oversee the department's annual budget, reporting significant variances and trends, recommending corrective measures, and providing financial forecasts.
  • Assess departmental needs and suggest priorities based on available funding.
  • Formulate funding strategies that encompass multiple sources, both internal and external.
  • Manage all departmental funding streams by monitoring revenue and expenditure activities.
  • Ensure compliance with University, State, and funding agency regulations.
  • Responsible for the division's indirect cost, time, and effort reporting.
  • Advise faculty overseeing revenue-generating research trust funds to ensure sustainable operations, billing, and adherence to University and Federal guidelines.
  • Represent the department in administrative meetings both within and outside the institution.
  • Participate in Institutional committees aimed at enhancing school operations and system implementations.
  • Perform additional duties as required.

Qualifications

REQUIRED QUALIFICATIONS:

  • Bachelor's degree in Administration or a related field, or equivalent experience.
  • Minimum of 5 years of relevant experience.
  • Prior supervisory experience is essential.

PREFERRED QUALIFICATIONS:

  • Proven success in an operational or administrative capacity within an academic healthcare environment.
