About The Role


The Senior Executive Assistant will collaborate closely with leaders in the Engineering, Product Design, Product Management, and Data (EPDD) divisions.

This role is essential for ensuring the seamless operation of the leaders and establishing robust practices for coordination, execution, communication, and alignment.

This position acts as the primary liaison to 2-3 leaders within the Product Services division, playing a pivotal role in propelling Gusto forward and facilitating growth.

You will also engage with the EPD Executive Operations community and report directly to the lead EPD Executive Operations partner.

Key Responsibilities

Time Management Expert:

Strategically collaborate to prioritize and organize the leader's schedule, ensuring alignment with departmental objectives and creating accountability for time management.

Responsibilities include managing calendars for all internal and external engagements.

Meeting Facilitator:
Organize, participate in, and document minutes and action items to ensure productive and enjoyable interactions.

Special Projects:

May involve research, analysis, and preparation of presentations, executed with precision while maintaining flexibility to adapt to organizational demands.


Project Coordination:
Keep multiple teams and initiatives on track simultaneously, recognizing when adjustments are necessary to ensure smooth operations.

Effective Communicator:
Represent the leaders effectively through various communication channels with internal and external stakeholders.

Culture Advocate and Community Builder:
Embody Gusto's values while organizing team retreats and team-building activities.

Relationship Developer:
Foster meaningful interactions across the organization and with external partners.

Travel Coordinator:
Manage travel arrangements, including flights, accommodations, transportation, and dining.
Qualifications

What We Seek:
5+ years of direct administrative experience supporting C-Level executives or General Managers in a large organization.
A dedicated Executive Assistant who is passionate about the profession and seeks long-term growth in this role.
Proven ability to manage large cross-functional projects from inception to completion.
Experience in organizing team events with approximately 50 participants.
Demonstrated capability to manage complex travel itineraries involving multiple stakeholders.
Experience in coordinating schedules with external parties is advantageous.
Skills and Attributes

Highly organized and detail-oriented, with the ability to prioritize multiple tasks calmly under pressure.
Structured thinking and a methodical approach to time management and prioritization.
