The American Heart Association is seeking a highly skilled National Meetings Coordinator to join our team. As a key member of our National Center office in Dallas, TX, you will be responsible for managing all meeting logistics for assigned association meetings.

Key Responsibilities

  • Manage meeting planning, coordination, and execution for assigned meetings.
  • Assist with on-site meeting management and ensure seamless execution.
  • Research and evaluate potential meeting facilities to find the best fit for our events.
  • Negotiate and execute contracts with vendors and hotels to secure the best deals.
  • Collaborate with program staff to review meeting requirements, budget, and agenda.
  • Communicate planning deadlines and ensure timely completion of tasks.
  • Establish meeting specifications, including menus and other details.
  • Prepare and distribute function forms to staff, hotels, and vendors.
  • Verify, reconcile, and process invoices for hotel and vendor services.

Requirements

  • Minimum of three years of experience in meeting planning, administration, or management.
  • Knowledge of meeting planning principles, practices, and technology.
  • Strong organizational, interpersonal, and communication skills.
  • Ability to manage multiple meetings, prioritize tasks, and meet deadlines.
  • Ability to negotiate contracts and think logically to solve problems.
  • Ability to work in a team environment and travel overnight approximately 20% of the time.
