About the Role

The American Heart Association is seeking a highly organized and detail-oriented National Meetings Coordinator to join our team. As a key member of our National Center office in Dallas, TX, you will be responsible for managing all meeting logistics for assigned association meetings.

Responsibilities

  • Coordinate meeting arrangements, including venue selection, catering, and audiovisual equipment.
  • Assist with on-site meeting management, ensuring seamless execution of events.
  • Research and conduct site visits to identify suitable meeting locations.
  • Negotiate and execute contracts with hotels and vendors to secure the best possible rates.
  • Collaborate with program staff to review meeting requirements, budget, and agenda.
  • Communicate planning deadlines and ensure timely completion of tasks.
  • Establish meeting specifications, including menus and other details.
  • Prepare and distribute function forms to staff, hotels, and vendors.
  • Verify, reconcile, and process hotel and vendor invoices.
  • Assume responsibility for additional meetings, conferences, and projects as needed.

Qualifications

  • Minimum of three years of experience in meeting planning, administration, or management.
  • Knowledge of meeting planning principles, practices, and technology.
  • Strong organizational and interpersonal skills.
  • Excellent communication and problem-solving abilities.
  • Ability to work in a team environment and manage multiple projects simultaneously.
  • Must be able to travel overnight approximately 20% of the time.
