Key Responsibilities

  • Manage incoming phone calls by answering, screening, and directing them to the appropriate personnel.
  • Greet and assist visitors while efficiently handling phone inquiries and other administrative responsibilities.
  • Schedule property viewings for external agents, ensuring appointments are organized and communicated effectively.
  • Inform residents about upcoming property showings and provide necessary guidance.
  • Oversee key management, including pickup and entry instructions for agents, and address any key-related issues.
  • Facilitate communication between team members and external agents to resolve inquiries and scheduling conflicts.
  • Maintain precise records of appointments, property showings, and in-office transactions; utilize Appfolio for documentation management.
  • Support move-in and move-out processes, including key management and payment documentation.

Qualifications and Skills

  • A bachelor's degree is preferred; however, a high school diploma with some college coursework is acceptable.
  • Availability to work on weekends is required.
  • Prior experience in scheduling or coordination roles is advantageous.
  • Exceptional organizational skills and attention to detail are critical.
  • Strong verbal and written communication abilities are necessary.
  • Capability to multitask and prioritize effectively in a fast-paced setting.
  • Basic understanding of real estate practices and terminology is beneficial.
