Job Summary

We are seeking a highly organized and detail-oriented Office Coordinator to join our team at Cuyahoga Community College. The successful candidate will provide administrative support to the Student Affairs department, ensuring the smooth operation of daily tasks and projects.

Key Responsibilities
  • Provide a full range of administrative and scheduling support to the supervisor and department.
  • Manage paperwork, documents, and departmental forms, ensuring accuracy and timeliness.
  • Respond to inquiries, draft responses, and refer as necessary to leadership or other resources.
  • Coordinate and arrange schedules, meetings, and appointments, ensuring effective communication and follow-up.
  • Establish and maintain accurate and up-to-date files and records, both physical and electronic.
  • Manage the supervisor's calendar and schedule appointments, ensuring seamless coordination.
  • Arrange programs, events, and meetings, reserving facilities and coordinating logistics.
  • Compose and prepare correspondence, reports, and other documents, ensuring clarity and professionalism.
  • Submit departmental requests and track progress, ensuring timely completion.
  • Provide functional supervision to part-time clerical staff, work-study students, and student assistants, as needed.
Requirements
  • Associate's Degree and a minimum of two (2) years of experience, or a High School Diploma (or equivalent) and a minimum of three (3) years of experience in an administrative role with scheduling responsibilities.
  • Significant related experience may substitute for education.
  • Possess strong organizational and time-management skills, with excellent written, verbal, and interpersonal communication skills.
  • Ability to foster a team environment, work collaboratively, and effectively accept direction from multiple levels of the College.
  • Working knowledge of administrative and scheduling concepts, practices, and procedures, with the ability to apply to varied situations.
  • Demonstrated basic proficiency in Ad Astra or an equivalent program, as well as Microsoft Outlook, Word, Excel, and PowerPoint.
  • Ability to confidentially and discreetly handle sensitive information and subject matters.
Preferred Qualifications
  • Demonstrated experience making sound decisions that affect a work unit or team.
  • Demonstrated experience in a role requiring diverse problem-solving methods in a variety of situations.
Physical Demands/Working Conditions

The work is performed in a normal, professional office environment, with adequate lighting, heating, and ventilation. The employee may sit comfortably to perform duties, with some walking, standing, and carrying of light items. Work may also require travel to and attendance at meetings and conferences away from the worksite.
