Overview

This is a full-time hybrid role.

Hybrid schedule includes 4 days in the office and 1 day remote after a successful introductory period.

The position entails delivering exceptional operational support to Financial Advisors and their clientele, alongside other team members.

Responsibilities
  • Manage daily administrative tasks for assigned Financial Advisor(s).
  • Act as the primary contact for a high volume of daily interactions, addressing inquiries, providing quotes, and coordinating meetings with both prospective and existing clients through various communication channels.
  • Facilitate the onboarding process for new clients, ensuring all necessary documentation is complete and accurate while overseeing the transfer of new assets.
  • Assist clients with documentation related to account transfers, beneficiary designations, and other maintenance requests. Process client transactions, including trades, deposits, and withdrawals, while adhering to regulatory standards.
  • Receive and process orders for the Financial Advisor(s) and may enter unsolicited trades as directed.
  • Maintain regular communication with clients, providing trade settlement details, coordinating payment and fund delivery, and addressing portfolio inquiries.
  • Collaborate with Financial Advisor(s) to prepare for client meetings and presentations, including data collection and report generation.
  • Utilize Client Relationship Management (CRM) software to create and maintain client records and files, ensuring compliance with firm and industry standards.
  • Support Financial Advisor(s) in marketing initiatives, including seminars and client engagement events.
  • Participate in training and professional development opportunities to stay informed on firm and industry policies and procedures.
  • Contribute as a member of a larger team focused on achieving organizational sales objectives.
  • Serve as a mentor, sharing expertise and providing guidance to colleagues.
  • May attend client meetings with Financial Advisor(s) upon request.


Qualifications

Education

Bachelor's Degree or equivalent experience in business, finance, or a related field. (Required)

Experience

5+ years in financial services or sales environment preferred. (Preferred)

3+ years of administrative experience in financial services or sales environment. (Required)

2+ years of experience with investment operations, procedures, and transfers. (Required)

Certifications

SIE (Security Industry Essentials), Series 7, Series 63 (or Series 66). (Required)

Must be eligible for affiliation with our Broker Dealer. (Required)

Knowledge, Skills, and Abilities
  • Familiarity with investment industry terminology. (Required)
  • Mathematical proficiency for processing account and transaction information. (Required)
  • Effective communication skills, both verbal and written, across all organizational levels. (Required)
  • Proactive approach to follow-up on submitted items to ensure resolution and completion. (Required)
  • Adept at identifying time-sensitive tasks and managing competing priorities. (Required)
  • Proficiency in Microsoft Office Suite. (Preferred)
  • Experience with CRM software or similar contact management tools. (Preferred)


Other Duties as Assigned by Manager

This role may encompass additional responsibilities as assigned by management. Pay Transparency

Salary ranges are established based on position, function, and responsibilities, benchmarked against similar companies in our industry. Compensation will be determined based on various factors, including the candidate's knowledge, skills, work experience, and relevant licenses/credentials. Salary may vary by geographic location.

The hourly rate for this position is $34.13.
