Position Overview:

The Legal Support Specialist plays a crucial role in providing administrative assistance to the Legal Department. This role demands exceptional communication abilities, both written and verbal, to effectively engage with a diverse range of internal and external stakeholders. The ideal candidate will adeptly handle multiple responsibilities with competing priorities, manage sensitive and confidential information with utmost discretion, and consistently uphold a high standard of professionalism within a corporate setting.

Reporting Structure:

This position reports directly to the Chief Legal Officer and regularly collaborates with the Executive Team. Key responsibilities encompass the administration of confidentiality agreements and various contracts, overseeing the organization of legal documents, and ensuring the timely and precise tracking of legal initiatives. Extended work hours may be necessary.

Key Responsibilities:

  • Oversee the preparation, review, and processing of contracts and sub-contracts.
  • Maintain electronic filing systems, ensuring accurate organization and timely saving of documents according to established naming conventions.
  • Proactively manage the SharePoint Tracker for contracts and litigation, updating statuses and ensuring all pertinent information is readily accessible to the legal team and authorized personnel.
  • Manage legal calendars, monitor deadlines, arrange travel, and coordinate meetings.
  • Prepare and review statements of work and nondisclosure agreements with various stakeholders.
  • Conduct trademark and domain name research for availability and clearance.
  • Facilitate communication across departments, track internal legal service requests, and provide timely responses to inquiries.
  • Draft template legal documents and correspondence for attorney review.
  • Engage with management regarding specific support requests and collaborate with other departments.
  • Research legal sources to assist in document preparation.
  • Review and process legal invoices for approval and payment.
  • Act as a liaison between clients, external vendors, and internal departments.
  • Maintain confidentiality of all legal matters.
  • Assist in drafting various legal documents, ensuring attention to detail and reviewing existing contracts for potential conflicts.
  • Organize and file documents received by the legal department; maintain electronic case files.
  • Build and nurture relationships with internal and external stakeholders.
  • Facilitate corporate filings and assist in drafting and reviewing corporate documents.
  • Manage special projects as assigned, tracking progress and following up as necessary.
  • Possess knowledge of statutory and local court rules, managing deadlines effectively.
  • Support the Legal Department with legal, legislative, and administrative tasks as needed.
  • Respond to various internal and external inquiries in a professional manner.
  • Assist with litigation and manage discovery matters, including e-discovery and correspondence with outside counsel.
  • Create guidelines and processes for improved efficiency.
  • Review relevant online articles pertaining to the business.
  • Experience in the manufacturing and private label industry is advantageous.

Education Requirements:

A Bachelor's degree along with a Paralegal Certificate is required.

Experience Requirements:

A minimum of five years of experience as an in-house paralegal is essential, with a focus on litigation and electronic discovery.

  • Acute attention to detail with the ability to prepare and revise a variety of legal documents.
  • Proficient in Microsoft Office Suite and Adobe Acrobat, with database management skills.
  • Ability to work independently while collaborating with various teams.
  • Effective management of sensitive information in a professional manner.
  • Excellent organizational skills and attention to detail.
  • Capability to prioritize and manage multiple projects.
  • Strong verbal and written communication skills.
  • Ability to thrive in a high-volume work environment.
  • Familiarity with diverse legal documentation is preferred.
  • Experience in the manufacturing and private label sectors is a plus.
