Position Overview

CUMULUS MEDIA | SAN FRANCISCO is seeking a dedicated full-time Sales/Administrative Assistant to join our dynamic 6-station cluster. This role is essential in supporting our radio advertising sales and administrative teams, providing vital assistance to sales representatives and management. The ideal candidate is reliable, diligent, and adept at managing multiple deadline-driven projects while maintaining a positive demeanor in a fast-paced environment.

Key Responsibilities:
  • Serve as a liaison between the sales team, clients, and various inter-departmental teams while managing administrative tasks.
  • Organize and input new and revised orders; assist in crafting sales proposals and digital campaigns; provide exceptional customer service to enhance client relations.
  • Support Account Executives with order processing and traffic management as needed.
  • Prepare and compile reports and presentations for internal and external use.
  • Conduct research using tools such as Tapscan, Media Monitors, and Scarborough.
  • Maintain up-to-date sales materials and media kits.
  • Provide backup support for Account Executives in inputting traffic instructions into vCreative.
  • Manage incoming calls, correspondence, and appointment scheduling with professionalism.
  • Maintain accurate account lists, mailing lists, and employee directories.
  • Assist clients by providing necessary documents and forms to ensure smooth execution of media buys.
  • Collaborate with Traffic Managers to gather copy and traffic instructions, resolving any clearance issues.
  • Handle time-sensitive projects while adhering to strict deadlines.
  • Manage multiple project requests efficiently with quick turnaround times.
  • Welcome clients, guests, and visitors, ensuring a friendly and professional atmosphere.
  • Screen and direct incoming calls to the appropriate personnel, taking accurate messages.
  • Receive and distribute incoming mail and deliveries, ensuring proper postage on outgoing mail.
  • Provide information to listeners regarding commercials and news stories.
  • Oversee kitchen and office supply management.
  • Perform additional duties as assigned by the Sales Operations Manager or other management related to sales or administrative functions.
Qualifications:
  • 1-3 years of experience in sales, marketing, advertising, or promotions preferred.
  • Proficient in computer applications, particularly Microsoft Office Suite (Word, PowerPoint, Excel) and social media platforms.
  • Experience in a radio station environment is advantageous.
  • Detail-oriented self-starter with excellent organizational skills and strong written and verbal communication abilities.
  • Dependable with a solid work ethic and a collaborative team player attitude.
  • Able to make independent decisions and work autonomously without direct supervision.
  • Capable of interacting courteously with individuals at all organizational levels.
