Position Overview:

The Office of Admissions at VCU is actively seeking a part-time Admissions Processor to enhance our team of enthusiastic admissions professionals. This role is essential in delivering exceptional customer service to prospective students, faculty, and staff, thereby supporting VCU's enrollment objectives. The Admissions Processor will collaborate with a team of undergraduate admissions staff within the Office of Admissions.

Key Responsibilities:

Application Management (50%):
  • Efficiently handle a designated caseload of undergraduate admissions applications, which involves assessing residency status, notifying applicants of required documentation, verifying compliance with admission criteria, and ensuring applications are ready for evaluation.
  • Ensure the accuracy of applicant data in student information systems by reviewing edit reports and making necessary updates. Investigate and resolve application-related issues.
  • Process requests for changes in major submitted by applicants.
Communication and Client Support (35%):
  • Foster a culture of excellence and efficiency by promptly responding to inquiries from prospective students, faculty, and staff. Maintain respectful communication with both internal and external stakeholders, valuing diversity and inclusivity.
  • Address inquiries from admissions applicants, typically within a 24-hour timeframe, to assist them in submitting necessary admissions documentation. Proactively inform applicants of any missing materials.
  • Listen to and anticipate the needs of customers, providing clear and accurate information regarding application status and required documentation in a professional manner.
  • Resolve outstanding admissions issues within five business days, escalating to a supervisor when necessary, and provide follow-up information for unique cases.
  • Comply with FERPA regulations regarding confidentiality when responding to inquiries.
Additional Duties (15%):
  • Engage in non-routine projects, including providing support to other offices during peak periods, which may require additional hours.
  • Participate in cross-training initiatives with admissions and division staff on selected projects.
  • Complete assigned special projects or other tasks as directed by the supervisor.
  • Attend university events such as Open Houses and Preview Days.
Qualifications:

Minimum Requirements:
  • High school diploma or GED.
  • Strong verbal and written communication skills, along with excellent customer service, problem-solving, and organizational abilities.
  • Ability to adhere to university, state, and SEMSS policies and procedures.
  • Capacity to communicate effectively with diverse groups, including prospective students and their families.
  • Ability to work independently and collaboratively within a team.
  • Experience in a fast-paced, high-pressure environment.
  • Proficiency in data entry and familiarity with MS Word and Excel.
  • Ability to interpret data from reports and manage workflow.
  • Willingness to work occasional evenings and weekends.
  • Commitment to fostering a diverse and inclusive environment.
Preferred Qualifications:
  • Completed or in-progress Bachelor's degree in Business, Data Management, or a related field.
  • Familiarity with VCU programs, systems, and processes.
  • Experience in a high-volume, customer service-focused environment, particularly in admissions processing.
  • Background in roles involving extensive data entry and public interaction.
  • Experience with enterprise student information systems.
  • Knowledge of systems such as Banner, PeopleSoft, Technolutions Slate, Liaison CAS, and Perceptive Content (ImageNow).
Position Information:
This is a part-time position with an expected average of 25 hours per week.
