Job Overview

Position Summary

The Human Resources Specialist will oversee the daily operations of the Human Resources (HR) department, which includes recruitment and onboarding, managing payroll, benefits, and leave, as well as enforcing company policies and procedures. This role provides essential support to the HR team and participates in various special projects while ensuring adherence to relevant labor laws and regulations.

Key Responsibilities

  • Facilitate HR operations, including recruitment, selection, orientation, and training, in collaboration with management.
  • Utilize knowledge of local Labor and Employment Law to advise management effectively.
  • Maintain and implement policies and procedures related to recruitment, compensation, and benefits with guidance from Corporate HR.
  • Support compliance activities, including benefit and employment audits.
  • Assist in preparing employment agreements and gathering necessary new hire documentation for payroll and HR records.
  • Engage in the QHSSE program and ensure compliance.
  • Document HR processes and procedures accurately.
  • Contribute to the development of internal HR training programs.
  • Provide general clerical and administrative support to the HR team.
  • Actively participate in improving employment policies and practices, recommending changes to management as necessary.
  • Assist in the development and execution of various HR initiatives, culture programs, and other HR-related projects as directed by the VP of HR and Management Team.
  • Maintain comprehensive personnel files, including medical, retirement, training, and contract records.
  • Manage HR and training records, compiling reports from files and databases as required.
  • Collaborate closely with the Finance and Accounting Team to ensure accurate and timely payroll processing.
  • Assist in administering employee benefits programs, including retirement plans, medical, dental, and vision plans, life insurance, temporary disability, and wellness programs.
  • Coordinate required pre-employment testing, such as physical and drug screenings.
  • Track employee annual leave and report as needed.
  • Assist with leave requests, including FMLA and Leave of Absence.
  • Implement new hire orientation and employee recognition initiatives.
  • Facilitate benefit enrollments, life change events, and terminations across all applicable benefit and retirement plans.
  • Conduct background checks and verify employee eligibility.
  • Address employment-related inquiries from applicants, employees, and supervisors, referring complex matters to appropriate staff.
  • Participate in employee disciplinary meetings, terminations, and investigations.
  • Complete and maintain Employee Action Forms (EAF) to update employee information as necessary.
  • Ensure compliance with federal, state, and local employment laws and regulations, recommending best practices and reviewing policies to maintain compliance.
  • Stay informed about trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law.
  • Perform additional duties and special projects as assigned.

Qualifications & Skills

  • A minimum of 3 years of experience in human resources is required; a bachelor's degree is preferred.
  • Professional human resources certification is preferred.
  • Thorough understanding of local employment law is essential.
  • Strong interpersonal skills with the ability to communicate effectively at all levels of the organization.
  • High level of integrity and dependability is crucial.
  • Proven ability to exercise sound judgment and make decisions based on accurate and timely analysis.
