As a Legal Administrative Assistant, you will handle a variety of operational responsibilities, including managing high-volume document processing, overseeing mail systems, and providing support for various office functions. Reporting directly to the Site Manager or Supervisor, you will ensure the efficient operation of office equipment, manage incoming and outgoing correspondence, and maintain inventory records. Your role may also involve customer service, meeting room arrangements, and light maintenance tasks.
Key Responsibilities:
- Accurately process incoming mail from various carriers, ensuring accountability.
- Utilize tracking systems to manage and oversee accountable mail.
- Maintain detailed logs to document mail counts and other critical information.
- Conduct mail deliveries within the office, ensuring timely distribution.
- Meet physical requirements, including lifting items up to 50 lbs.
- Assist with light maintenance tasks such as equipment troubleshooting.
- Operate high-volume copying machines and perform finishing tasks.
- Efficiently manage office tasks using software applications.
- Conduct maintenance checks on office equipment and troubleshoot issues.
- Maintain inventory records and distribute office supplies.
- Coordinate service calls and respond to inquiries from clients.
- Assist with shipping and receiving tasks, including calculating service charges.
- Support meeting room setups and assist with office relocations.
- Perform occasional cleaning and light maintenance duties.
- Operate various office equipment, including paper cutters and postage meters.
- Conduct filing duties, including archiving documents as necessary.
- Proficient computer skills are advantageous for potential career advancement.
- Experience with office equipment and software systems.
- Strong organizational and multitasking abilities.
- Effective communication skills with clients and team members.
- Attention to detail and accuracy in record-keeping.
- Flexibility to work occasional overtime as needed.
- Physical capability to perform light maintenance tasks.
