Position Overview

Role Summary:

The Scheduling Coordinator is tasked with the essential duty of aligning client and caregiver schedules to facilitate the efficient functioning of the department, operating under the guidance of the Respite Services Supervisor.

Primary Duties:

  • Effectively manage open shift requests and provide timely status updates.
  • Maintain accurate records of client assignments and staffing activities.
  • Reach out to newly onboarded Respite Care Providers (RCPs) to address open shift opportunities.
  • Process requests from RCPs for new client assignments.
  • Update the care log throughout the matching process to uphold the integrity of open shifts.
  • Accurately document any interview cancellations in the system.
  • Ensure adherence to best practices in daily operations and suggest enhancements as necessary.
  • Respond promptly to communications and follow-up inquiries.
  • Facilitate interviews between families and RCPs, updating profiles as needed.
  • Close open shifts following successful interviews and inform relevant stakeholders.
  • Efficiently manage staff requests for shift coverage.
  • Communicate staffing requirements based on specific criteria with the Care Recruitment Specialist.
  • Maintain effective communication with all departments using appropriate channels.

Qualifications:

  • High School diploma or equivalent, with experience in office support.
  • Bilingual proficiency in English and Spanish.
  • Typing proficiency of at least 30 words per minute.
  • Exceptional organizational skills and meticulous attention to detail.
  • Proficient in the Microsoft Office Suite.
  • Possession of a valid California Driver's License.

Additional Responsibilities:

  • Provide support to other administrative functions within the organization as required.
  • Assist with departmental projects as necessary.
  • Engage in the planning and organization of company events related to respite services.
