Executive Assistant

LAFLA seeks a highly organized and experienced Executive Assistant to provide exceptional administrative support to the Executive Director. The ideal candidate will possess a strong ability to manage complex tasks, prioritize multiple projects, and maintain confidentiality.
Key Responsibilities- Coordinate and support the calendar and activities of the Executive Director and senior leaders, including calls, meetings, presentations, and other communications.
- Develop materials for key meetings and events, including presentations, reports, and scripts.
- Build a deep understanding of the organization's structure and priorities to interact with internal and external partners on behalf of the Executive Director.
- Support the committees of the Board of Directors, including coordinating meetings, maintaining board documentation, and preparing meeting agendas and minutes.
- Perform administrative functions, such as note-taking, document preparation, and data entry.
- Manage documents requiring signatures and authorizations, and coordinate travel arrangements and logistics.
- Assist with planning and coordinating agency events, such as All Staff meetings.
- Provide administrative support to the Legal Directors, including coordinating legal staff training and logistics.
- Draft and design general correspondences, memos, charts, tables, graphs, agendas, and minutes.
- A bachelor's degree and a minimum of 3 years of experience directly supporting a senior executive.
- Prior experience providing administrative support and developing materials for board meetings.
- Proven project management and project delivery experience.
- Ability to manage multiple tasks and complex logistics in a high-pressure environment.
- Excellent interpersonal skills, including verbal and written communication skills.
- Excellent organizational skills and attention to detail.
- Highly experienced in electronic communications.
- Strong work ethic and self-motivation.
- Excellent computer proficiency and ability to utilize Microsoft Office 365 suite, Adobe Acrobat, and video-conferencing software.
- Ability to exercise independent judgment and initiative.
- Ability to create reports, handle correspondence, and compose letters independently or from oral or written instructions.
- Ability to work evenings and weekends as required.
- Ability to travel locally.
