This position entails overseeing the daily operations of Skylight Financial Group's office, along with providing administrative assistance to the Marketing Specialist. Key responsibilities encompass welcoming visitors, managing mail, ordering supplies, coordinating events, and serving as the on-site liaison for facilities, in addition to supporting the marketing department's administrative and communication tasks.

Key Responsibilities

  • Welcome clients, vendors, and guests
  • Manage daily opening and closing of office premises
  • Order and maintain office supplies
  • Act as facilities liaison, collaborating with local vendors and maintenance teams
  • Handle daily mail processing and generate monthly usage reports
  • Coordinate logistics for office events, including Lunch & Learns and monthly gatherings
  • Assist with onboarding and offboarding of new staff, including key management and office setup
  • Support the creation and execution of newsletters, firm events, and related communications
  • Manage promotional item orders for staff and the firm
  • Update and maintain operational documents such as directories and organizational charts
  • Collaborate with various departments to keep Microsoft Teams pages current and accessible
  • Assist in capturing multimedia content during firm and office events
  • Gather testimonials and other content from staff for marketing purposes
