Job Overview

We are seeking a skilled Administrative Operations Coordinator to oversee various office functions, provide support for information management, and enhance operational workflows. This role involves working weekdays from 9:30 a.m. to 5:30 p.m.

Key Responsibilities:

  • Manage daily operations to support the executive team effectively.
  • Facilitate all administrative aspects to align with organizational objectives.
  • Coordinate schedules for external service providers and assist interns as needed.
  • Design, assess, and refine administrative systems, policies, and procedures.
  • Organize and maintain information using both digital and traditional filing systems.
  • Lead special projects and monitor progress towards specific goals.
  • Assist patrons at the box office and resolve any inquiries or issues.
  • Provide information regarding events, tickets, and schedules, manage cash balances at the end of shifts, and help replenish box office supplies.
  • Adhere to all operational policies and procedures, ensuring a welcoming environment for guests and addressing patron complaints effectively.
  • Perform additional related tasks and special projects as assigned.

Qualifications:

  • A bachelor's degree is preferred.
  • Familiarity with budget management, human resources, and customer service protocols is essential.
  • Ability to enhance skills through educational opportunities is required.
  • Capability to thrive under pressure while maintaining accuracy to meet tight deadlines is necessary.
  • Proficiency in Microsoft Office Suite is required.
  • Strong analytical, problem-solving, and training skills are essential.
  • Exceptional written and verbal communication abilities are required.
  • Detail-oriented with excellent organizational, interpersonal, and multitasking skills.
  • Customer-focused with a positive attitude, team-oriented, and professional demeanor at all times.
  • Ability to comply with all operational policies, procedures, and health and safety regulations.
