This position offers a valuable opportunity to understand the processes and documentation involved in managing workers' compensation claims. It is an entry-level administrative support role within the Intake Management division, requiring effective communication in a standard office setting.

KEY RESPONSIBILITIES
  • Collect mail from designated locations multiple times daily.
  • Open, date stamp, and categorize incoming mail based on urgency.
  • Sort and distribute incoming mail to departmental bins promptly and according to established procedures.
  • Copy essential documents and resize small pages for digitization.
  • Log the receipt of checks and cash, delivering them to the Financial Management team.
  • Maintain and review logs for incoming certified mail.
  • Record the volume of return mail and certified/overnight mail received.
  • Process outgoing certified mail by entering recipient details into the mailing log and generating shipping labels for overnight deliveries.
  • Deliver outgoing certified mail and overnight packages according to established protocols.
  • Import pre-authorization images and recorded statements into the document management system.
  • Prepare, categorize, and digitize documents and medical invoices for storage.
  • Create bar code sheets for both priority and non-priority documents by entering data into the Claims Management System (CMS) for tracking purposes.
  • Conduct quality assurance checks on digitized documents by reviewing and editing them before storage and distribution.
  • Provide backup support to the Receptionist as needed.
  • Prepare clean claim reviews of medical invoices by generating bar code sheets and entering data into the CMS for tracking compliance with relevant regulations.
  • Deliver exceptional customer service.
  • Perform related tasks as assigned.
  • Maintain up-to-date knowledge necessary for performing essential job functions.
  • Attend work regularly in accordance with the agreed-upon schedule.
  • Ensure the security and confidentiality of sensitive information.
  • Adhere to all organizational policies and procedures, including those related to ethics and integrity.
Qualifications:

MINIMUM REQUIREMENTS
  • Education: High school diploma or equivalent.
  • At least 18 months of full-time experience in a general office, clerical, or closely related field; may substitute college credit for experience.
  • Familiarity with general office practices and procedures.
  • Understanding of organizational dynamics, including accountability.
  • Ability to work effectively under pressure and meet deadlines.
  • Strong organizational skills.
  • Proficient in both long-term and short-term planning.
  • Competent in using computers for word processing and data entry/retrieval.
  • Skilled in providing customer service.
  • Adept at gathering and analyzing relevant information.
  • Effective oral and written communication skills [Writing sample may be requested during the interview process].
  • Ability to accept and respond positively to constructive feedback.
  • Capacity to collaborate with others in a professional office environment.
  • Ability to provide outstanding customer service.
  • Willingness to work beyond 40 hours as necessary and in compliance with applicable regulations.
  • Availability to work Monday through Friday, 8 a.m. - 5 p.m.
  • Ability to lift and move up to 30 lbs.
PREFERRED QUALIFICATIONS
  • Graduation from an accredited four-year college or university with a Bachelor's degree.
