GENERAL OVERVIEW

The State Office of Risk Management (SORM) is a dynamic and inclusive state agency seeking a motivated Claims Processing Associate. This entry-level position involves assisting in the initiation of workers' compensation claim files by managing incoming correspondence for SORM. Key responsibilities include performing basic data entry tasks, receiving, sorting, and distributing mail to various internal departments, scanning documents, and other duties associated with the initiation of workers' compensation claims. This role offers an excellent opportunity to gain insight into the documentation and procedures involved in managing workers' compensation claims.

KEY RESPONSIBILITIES

  • Collect mail from designated locations twice daily.
  • Open, date stamp, and categorize incoming mail based on urgency.
  • Sort and distribute incoming mail to departmental bins promptly and according to established procedures.
  • Copy priority documents and resize small pages for scanning.
  • Log the receipt of checks, warrants, and cash, delivering them to the Financial Management department.
  • Maintain and review logs for incoming certified mail.
  • Record the number of return mail, certified, and overnight mail pieces received.
  • Process outgoing certified mail by entering recipient details into the mailing log and creating shipping labels for overnight deliveries.
  • Deliver outgoing certified mail and overnight packages according to established procedures.
  • Import file images for pre-authentication and recorded statements into the storage system.
  • Prepare, sort, and scan documents and medical bills for storage.
  • Create bar code sheets for document identification and tracking by entering data into the Claims Management System (CMS).
  • Conduct quality assurance checks on scanned documents by reviewing and editing prior to storage and distribution.
  • Provide backup support to the Receptionist as needed.
  • Prepare clean claim reviews of medical bills, ensuring compliance with relevant regulations.
  • Deliver exceptional customer service.
  • Perform related tasks as assigned.
  • Maintain knowledge necessary to perform essential job functions.
  • Attend work regularly in accordance with the agreed-upon schedule.
  • Ensure the security and confidentiality of sensitive information.
  • Adhere to all agency policies and procedures, including those related to ethics and integrity.

MINIMUM REQUIREMENTS

  • Education: High school diploma or equivalent.
  • At least 18 months of full-time experience in a general office, clerical, or related field; college coursework may substitute for experience.
  • Familiarity with general office practices and procedures.
  • Understanding of organizational behavior and accountability.
  • Ability to work effectively under pressure and meet deadlines.
  • Strong organizational skills.
  • Proficiency in computer use for word processing and data entry.
  • Excellent customer service skills.
  • Ability to gather and analyze relevant information accurately.
  • Effective oral and written communication skills.
  • Willingness to accept constructive feedback positively.
  • Ability to collaborate with others in a professional environment.
  • Capacity to work beyond standard hours as necessary.
  • Ability to lift and move items weighing up to 30 lbs.

PREFERRED QUALIFICATIONS

  • Graduation from a four-year accredited college or university with a Bachelor's degree.
