Position Summary:

We are looking for a highly organized and proactive Administrative Partner to assist our CEO and ensure the smooth functioning of our office. The ideal candidate will be detail-oriented and excel in managing schedules, coordinating travel arrangements, and maintaining precise sales and customer information. If you thrive in a dynamic environment and enjoy a variety of responsibilities while collaborating with a supportive team, this position is tailored for you.

Key Responsibilities:

  • Executive Support: Provide comprehensive administrative assistance to the CEO, including managing daily agendas, organizing meetings, and handling correspondence with accuracy and confidentiality.
  • Calendar and Communication Management: Oversee and organize the CEO's calendar, schedule appointments, and ensure all email communications are addressed efficiently and professionally.
  • Travel Coordination: Plan and arrange both domestic and international travel, including flights, accommodations, and itineraries, ensuring all logistics are handled smoothly and cost-effectively.
  • CRM Management: Utilize HubSpot to input and verify new sales and customer data, ensuring accuracy and completeness. Follow up on quotes and leads to bolster the sales team's initiatives.
  • Customer Quoting: Generate and manage customer quotes, ensuring timely and precise documentation that aligns with customer requirements and company standards.
  • Service Desk Support: Act as a backup to the Service Desk Manager, including monitoring support queues, creating tickets for Help Desk Staff, and ensuring customer equipment is shipped and received appropriately. Adhere to all internal processes to guarantee smooth operations.
  • Procurement Assistance: Assist in the procurement of customer equipment and provisioning to the internal team to prepare for customer needs.
  • Operational Assistance: Support various administrative tasks and projects as needed to assist the CEO and ensure the efficient operation of the office.

Qualifications:

  • Demonstrated experience as an Executive Assistant or in a comparable administrative role.
  • Outstanding organizational and time-management abilities with the capacity to manage multiple priorities.
  • Proficiency in Microsoft Office Suite and familiarity with HubSpot or similar CRM platforms.
  • Excellent communication skills, both written and verbal, with a strong attention to detail.
  • Ability to work independently as well as collaboratively within a cohesive team.
  • Adaptability to changing priorities and willingness to take on diverse responsibilities.
