ORGANIZATIONAL DESCRIPTION
The Patient Admission Specialist is tasked with managing all paper-based patient registrations and entering patient information into the electronic system. This role includes preparing admission documentation, verifying insurance coverage, and processing financial transactions related to patient accounts.

The Patient Admission Specialist will also provide support with various responsibilities as needed within the admissions department.


INTERACTION
Primarily Interacts with:
administrative staff, healthcare providers, team members, patients, visitors, suppliers, and volunteers.
PRIMARY FUNCTIONS
- Collects and updates demographic and financial data from patients, ensuring accurate entry into the system.
- Prepares necessary documentation for each department.
- Delivers exceptional customer service to patients, medical staff, and other departments.
- Confirms insurance details and secures authorizations for services rendered.
- Maintains accurate departmental records, reports, and files as required.
- Communicates financial obligations to patients or responsible parties and collects necessary deposits or deductibles.
- Collaborates with Utilization Review.
- Responsible for inputting patient charges.
- Provides outstanding customer service.

Maintains confidentiality and adheres to HIPAA regulations. Works collaboratively with colleagues to achieve departmental goals and uphold positive employee relations, inter-departmental objectives, and infection control standards.

Demonstrates punctuality and professionalism in appearance, communication, and actions during all interactions.

Effectively resolves practical issues, managing a variety of challenges, and interprets diverse instructions provided in both written and verbal formats.

Attends meetings as necessary.
Performs additional duties as assigned.


REQUIREMENTS
ABILITY TO USE EQUIPMENT, TOOLS, MATERIALS, MACHINES:
Computer, telephone, fax machine, copier, scanner, printer, calculator, and other standard office equipment.
EDUCATION/EXPERIENCE/SKILLS/ABILITIES
Education:
High School Diploma or equivalent required.

Experience:
Minimum of one year in customer service is required. Experience in a medical office or healthcare setting is preferred.
Personal Job-Related Skills / Abilities:
- Commitment to quality and patient safety is essential.
- Proficient in spoken and written English; bilingual in Spanish is a plus.
- Basic computer skills, including proficiency in Microsoft Office, information security, scheduling and payroll systems, electronic medical documentation, and email.
- Ability to adapt to change, prioritize tasks, manage stress, and communicate effectively in person and over the phone.
- Capable of working independently and collaboratively within a multidisciplinary team.
- Must manage multiple interruptions throughout the shift.
- Strong interpersonal and communication skills, both verbal and written.
- Excellent time management skills.

Ability to work under pressure while maintaining a helpful and courteous demeanor with significant patient interaction.

Physical and mental requirements include sufficient hearing, vision, and dexterity to perform duties safely.

- Lifting up to 30 lbs: 20%
- Other movements as necessary.
Mental:
Moderate stress level with core competencies in quality, service excellence, compassion, professionalism, and fiscal responsibility.
ADDITIONAL INFORMATION
The employee is expected to maintain a clean and safe work environment in compliance with regulatory requirements. Adherence to established infection control procedures is mandatory. The employee will ensure the effective and safe use of all equipment utilized in their role.

Competence in job duties will be evaluated during orientation and must be maintained and improved continuously.

Adherence to the assigned schedule and punctuality is expected. The employee must comply with the Code of Conduct and report any suspected violations.

Recognizing and incorporating the unique differences of employees, patients, and their families into individualized care plans is essential.
