Position Overview

The Andlinger Center for Energy and the Environment is seeking a Grants Manager to oversee the financial and administrative management of research initiatives for faculty and scholars. This role is crucial in the facilitation of sponsored research awards and non-sponsored research endeavors. The center is dedicated to transforming innovative ideas into practical solutions for energy and environmental challenges, and the Grants Manager is essential in aiding faculty and scholars in navigating both external and internal funding sources.

Key Responsibilities

This position encompasses all facets of pre- and post-award grant management, including the development of research budgets and proposal documentation, ensuring adherence to all university and sponsor guidelines and deadlines.

Pre-Award Duties

  • Communicate policies and regulations regarding sponsored research to faculty, researchers, staff, and students, ensuring compliance.
  • Facilitate the preparation and submission of proposals, guiding principal investigators through the application process.
  • Prepare and review necessary documentation, assisting faculty with conflict of interest disclosures.
  • Ensure timely action on all procedures to meet sponsor deadlines.
  • Coordinate the initiation of sub-award and contract processes.
  • Submit proposals to the Office of Research and Project Administration and relevant funding agencies.
  • Confirm the submission and receipt of proposals by funding agencies.

Post-Award Duties

  • Review award notices for specific restrictions and conditions.
  • Prepare financial reports and analyze spending on sponsored research; monitor project expenditures and communicate with faculty regarding financial activity.
  • Manage grant extensions, supplements, re-budgeting, and transfers to other institutions.
  • Oversee the salary certification process to ensure accurate effort reporting and manage faculty summer salary allocations.
  • Review and approve requisitions, invoices, and travel expense reports, ensuring compliance with university and sponsor regulations.
  • Facilitate no-cost extensions and incremental funding requests, ensuring appropriate activity on subawards.
  • Manage award renewal and final report deadlines efficiently.
  • Oversee the award closeout process and assist in preparing financial reports.
  • Collaborate with other universities and sponsors on grant award transfers.
  • Identify erroneous charges and prepare necessary documentation for principal investigator review.

Compliance Responsibilities

This role acts as a liaison to the Office of Research and Project Administration and Sponsored Research Accounting, ensuring compliance with reporting requirements and timely submission of various reports. The Grants Manager must stay informed on sponsor guidelines, federal regulations, and university policies, attending regular training sessions to maintain current knowledge of evolving research policies.

Qualifications

The ideal candidate will possess the ability to manage multiple proposals simultaneously, meet strict deadlines, and collaborate effectively with various campus units.

Required Qualifications

  • Bachelor's degree in business or a related field.
  • 3-4 years of relevant experience.
  • Strong analytical, problem-solving, and decision-making skills.
  • Proficiency in Microsoft Office, particularly Excel, Word, and Outlook.
  • Solid background in budget development and financial reporting.
  • Exceptional attention to detail and excellent organizational skills.
  • Ability to manage multiple projects in a fast-paced environment.
  • Experience with university grants management systems.

Preferred Qualifications

  • Understanding of university, sponsor, and Uniform Guidance policies.
  • Familiarity with university systems and administrative procedures.
