Job Responsibilities: What you will do

Communicate essential information to employees regarding leave decisions that necessitate policy or regulatory interpretations, ensuring all leaves of absence comply with relevant federal and state laws as well as company policies. Additionally, the incumbent will manage and convey leave policies, including Personal Leave, Military Leave, Work Injury Leave, and FMLA Leave, along with state-mandated leaves of absence.
  • Facilitates and communicates leave of absence requests, including verifying eligibility for leave.
  • Collects, reviews, and safeguards medical certifications, ensuring compliance with HIPAA, and determines certification extensions and FMLA approvals or denials for basic leaves where designations can be clearly made within the FMLA regulations and leave policies.
  • Provides general assistance to employees, management, and HR regarding fundamental leave of absence topics within the parameters of leave policies, procedures, and regulations.
  • Delivers customer service to employees on leave by proactively addressing concerns, anticipating needs, and providing timely and accurate information regarding leave entitlements and referrals to the Disability Plan Provider.
  • Coordinates with HR, Safety, Employee Leaders, and leave employees regarding return-to-work processes and/or leave exhaustion.
  • Reviews FMLA time reported by employees to ensure consistency with medical certifications, reporting time accurately and promptly to Payroll.
  • Calculates and monitors leave usage and exhaustion for employees on FMLA and MLOA.
  • Communicates promptly and accurately with HR, Payroll, and Employee Leaders regarding any changes in an employee's leave that may affect leave time.
  • Maintains leave files in accordance with FMLA record-keeping requirements.
  • Stays informed about state and federal regulations concerning leaves and updates to company policies.
  • Provides general customer service support to employees and management regarding all aspects of leave administration.
  • Maintains a high level of confidentiality in leave administration and ensures employees receive accurate leave information, referring them to the appropriate department when necessary.
  • Cross-trains with other functions in Compliance.
  • Performs additional duties as assigned.
Qualifications: What you need to bring
  • 2 years of relevant experience in leave of absence administration required.
  • Familiarity with FMLA and state regulations required.
  • Associate's degree in a related field or equivalent experience required.
  • Bachelor's degree preferred.
  • Proficient in leave of absence processing, rules, and regulations.
  • Excellent customer service skills are essential.
  • Strong oral and written communication skills are required.
  • Proficiency in MS Office Suite is necessary.
  • High attention to detail is a must.
  • Able to work under pressure and meet multiple deadlines.
