Position Overview:
The Branch Administrative Assistant plays a crucial role in delivering administrative support and managing various operational tasks to guarantee the branch's efficient functioning. This position involves providing high-level assistance to the Branch Manager, which includes managing calendars, coordinating business meetings, overseeing email correspondence, and tracking business activities. The ability to exercise independent judgment in addressing administrative needs while managing multiple projects is essential. This role requires on-site support.

Key Responsibilities:

  • Oversee the calendars of the team and Branch Manager, scheduling a variety of business meetings through platforms such as Teams, Zoom, and Outlook.
  • Handle emails, letters, packages, phone calls, and other forms of communication.
  • Coordinate travel arrangements and reservations as necessary.
  • Independently draft well-organized and grammatically correct emails.
  • Utilize various software applications, including spreadsheets and databases, to keep management and teams informed about clients and transactions.
  • Perform administrative tasks such as conducting research, updating databases/CRM, and tracking tasks for follow-up.
  • Support all East Coast branches in daily operations, including managing support tickets, resolving billing issues, and following up on outstanding documents.
  • Assist branches with onboarding and offboarding processes.
  • Complete various personal administrative tasks as required.
  • Prepare expense reports and reconcile receipts.
  • Provide assistance to colleagues whenever possible.
  • Maintain a high level of organization and confidentiality.
Qualifications and Skills:
  • High School Diploma or equivalent.
  • Proficient in Microsoft Office Suite.
  • Previous experience in banking, financial services, or mortgage sectors is preferred but not mandatory.
  • Strong communication skills.
  • Willingness to learn and cross-train in various departments.
